Job Description

Job Summary The Administrative Assistant and Communications Sspecialist plays a vital role in helping the church accomplish its goals through overseeing three key areas: general administration, communication needs, and oversight of membership database.. This position also works directly with the Pastor, and closely with the St. Thomas staff, volunteers, committees and ministry teams to ensure effective day-to-day operations of the church. Qualifications The ideal candidate should have strong interpersonal skills and the capacity to work cooperatively with a diverse group, while handling confidential information with discretion and integrity. Basic knowledge of Microsoft and Mac IOS is required. An Associate's Degree in business, secretarial science or related field is preferred, or a high school graduate with a minimum 3-5 years of relevant work experience. The successful candidate should hold religious convictions compatible with the United Methodist Church. Skills Required 1. Interpersonal skills that are team oriented, while creating a positive office environment. 2. Strong organizational skills and an ability to communicate, coordinate, and collaborate effectively with the pastor, staff, volunteers, and other ministry team leaders. 3. Ability to react to change productively and handle essential tasks as assigned. 4. Ability to multi task and pay attention to detail and follow through. Essential Duties and Responsibilities
  • Oversee the daily operations of the church office and facilities.
  • Assists in the daily operations and ministries of St Thomas UMC to include answering phones, mail, and shared network resources.
  • Coordinate and oversee production of all printed and electronic publications to include weekly bulletins, mailings, flyers, brochures, and give oversight to the Triumph Newsletter.
  • Coordinate and oversee all digital publications to include website, electronic sign, digital bulletin boards, social media and email lists as needed.
  • Proficient in Canva software for graphics and designs as needed for social media, bulletins, etc.
  • Maintains requests for room use and program events that are submitted to the office.
  • Maintain master church calendar and manages building and room use.
  • Maintain filing system, permanent records, including supporting the Board of Trustees in maintaining electronic door system and record of key/fob assignments for the church for long and short-term use.
  • Order and maintain office supplies.
  • Develop and oversee communications, office and administrative budgets.
  • Work with copier sales representative and technicians as needed.
  • Schedule and oversee front office volunteers, assigning projects or tasks as needed.
  • Reconcile church credit card statements.
  • Give oversight to church database and records, including membership status, life changes, etc.
  • Other duties as assigned. Physical Requirements and Working Conditions This position may require some lifting, moving and/or carrying of objects up to 25 pounds. Generally, this is a desk job including sitting and some walking. Other physical demands that may be required are kneeling, crouching, reaching, and general manual hand dexterity. Expected Results
  • To create an efficient and effective atmosphere so 1) the public has a positive impression of the church, 2) staff, leaders, and volunteers are empowered for ministry and 3) members are informed about the mission and ministry of the church in a timely manner.
  • To ensure pertinent information is accurate and up-to-date so that staff may access these tools to help grow the ministry, provide pastoral care, and provide timely information to all ministry stakeholders.
Pay:
$45,000.00 - $55,000.00 per year
