Primary - Office Manager; Secondary - Wholesale Account Manager Position Overview Sara Weinstock is seeking a highly organized, detail-oriented, and dependable Showroom & E-Commerce Coordinator to support the day-to-day operations of our fine jewelry office, with a focus on showroom upkeep, inventory accuracy, e-commerce, and general office support. This is a hands-on position that blends showroom maintenance and presentation, inventory coordination and tracking, e-commerce and digital merchandising support, and the product organization, shipping/receiving, documentation, and administrative work of a fine jewelry office. The ideal candidate is proactive, organized, comfortable handling high-value merchandise, and able to follow established processes carefully from beginning to end. Key Responsibilities Showroom Maintenance & Presentation Maintain the showroom in a clean, organized, and presentation-ready condition at all times. Set up and refresh showroom displays and cases to reflect current collections and priorities. Coordinate showroom needs ahead of buyer appointments, trunk shows, and other visits. Ensure showroom merchandise is properly received, secured, tagged, and accounted for in accordance with established SOPs. Monitor and maintain showroom supplies, fixtures, and presentation materials. Inventory Coordination & Tracking Maintain and organize jewelry inventory and product samples, including SWP inventory, with ongoing tracking across locations (office, trunk shows, wholesale accounts, consignment). Conduct and support physical inventory counts, reconciling discrepancies and maintaining inventory accuracy. Maintain inventory records and tracking systems, flagging low stock, aging inventory, or missing items. Receive incoming packages and merchandise, ensuring items are properly documented, tagged, and routed. Pack, prepare, and ship jewelry for customer orders, wholesale accounts, trunk shows, events, and other business needs. E-Commerce & Digital Merchandising Maintain and update product listings, pricing, and inventory counts on Shopify and the company website. Maintain and organize product photography and other digital assets, coordinating with the team on shoot needs. Support digital merchandising efforts, including product catalog organization and online presentation. Update product pricing and details across line sheets, Shopify, the website, and internal documents as directed. Office & Merchandise Support Maintain merchandise, including product tagging, displays, line sheets, and cleaning/repairs coordination as needed. Assist with maintaining office-wide calendars and schedules. Order and maintain office, shipping, and packaging supplies. Maintain an organized, clean, and functional office and inventory workspace. Assist with updating Standard Operating Procedures (SOPs) and other internal documentation. Assist with special projects, data entry, research, audits, and administrative tasks as needed. Run occasional local errands for office and production-related needs. Perform other duties and provide general support to the team as requested. Qualifications 1-2 years of office, administrative, inventory, retail operations, or e-commerce experience preferred. Strong attention to detail and accuracy, especially with inventory tracking. Highly organized with the ability to prioritize multiple assignments and meet deadlines. Dependable and able to follow instructions and established processes from start to finish. Comfortable working with and handling high-value merchandise with care. Strong written and verbal communication skills. Proactive, resourceful, and willing to take initiative. Able to work effectively in a small, fast-paced team environment. Comfortable maintaining confidential and sensitive company information. Proficiency with Microsoft Office and/or Google Workspace. Experience with Shopify, inventory management systems (e.g., Zedonk), or jewelry/fashion operations is a plus. Physical & Work Requirements Ability to work primarily in an office environment. Ability to use a computer for extended periods. Ability to pack, unpack, organize, and move merchandise and shipping materials as needed. Ability to carefully handle small and high-value jewelry pieces. Ability to perform local office or production errands as needed.
