Job Description
Job Summary We are seeking a highly organized, detail-oriented Office Manager / Marketing Assistant to provide administrative support, assist customers with street-legal title and registration paperwork, and support our company's marketing efforts. Our company operates under one large umbrella brand with several sub-brands and websites, including two e-commerce websites. This is an excellent opportunity for someone who enjoys variety and can confidently balance customer service, administrative responsibilities, and creative marketing projects. The ideal candidate is dependable, technologically skilled, self-motivated, and comfortable managing multiple priorities. This position requires strong attention to detail, particularly when preparing and submitting customer title and registration documentation. Key Responsibilities Assist with daily office operations and general administrative tasks. Answer phones, respond to emails, organize documents, and maintain accurate electronic and paper records. Communicate professionally with customers, vendors, employees, and outside agencies. Maintain calendars, task lists, deadlines, and project updates. Assist management with reports, spreadsheets, data entry, and special projects. Help improve office procedures and maintain an organized, efficient work environment. Provide weekly updates on current assignments, upcoming deadlines, and outstanding items. Street-Legal Title and Registration Support Assist customers with the title and registration process for street-legal vehicles. Collect and review customer and vehicle documentation for accuracy and completeness. Prepare and submit title, registration, and related DMV paperwork. Track submissions and follow up on pending or incomplete applications. Communicate with customers regarding required documents, application status, and next steps. Maintain organized and confidential records for all title and registration transactions. Work with internal sales and management teams to ensure paperwork is completed correctly and promptly. Marketing Support Assist the Marketing Manager with daily activities and strategic marketing initiatives designed to increase leads, sales, brand recognition, and the company's digital presence. Help create content for social media, email newsletters, websites, digital advertisements, print materials, and promotions. Create and edit photos, graphics, short-form videos, and Reels. Assist with developing and maintaining a detailed marketing content calendar. Create, schedule, and publish content across Facebook, Instagram, TikTok, YouTube, and other platforms. Monitor social media accounts and assist with responding to comments, messages, and mentions. Update company websites with accurate product information, promotions, service details, and other content. Help maintain consistent branding across multiple companies, sub-brands, and websites. Assist with email marketing campaigns using platforms such as Mailchimp. Support Google Ads and other digital advertising efforts. Help track marketing performance and prepare monthly reports using Google Analytics, social media insights, and other reporting platforms. Assist with promotional materials, company events, and other marketing projects as needed. Qualifications At least one year of administrative, office management, marketing, or related experience preferred. Experience preparing title, registration, DMV, or other detail-sensitive documentation is a plus. Marketing content creation or social media management experience is preferred. Strong attention to detail and commitment to accuracy. Excellent organizational, time-management, and follow-up skills. Strong written and verbal communication skills. Comfortable working directly with customers and handling confidential information. Proficiency with Microsoft Excel, Outlook, and other Microsoft Office programs. Familiarity with Canva, Mailchimp, WooCommerce, WordPress, Google Ads, Google Analytics, or similar platforms is preferred. Ability to learn new software and processes quickly. Ability to work independently, manage multiple priorities, and meet deadlines. Positive attitude, professional demeanor, and team-oriented approach.
