CRM & Marketing Automation Lead Healthcare / Medical Practice Operations |
Tustin, California Compensation:
$95,000-$115,000 annually + performance-based incentives Full-Time | Monday-Friday | Contract-to-Hire About the Role We are seeking an experienced CRM & Marketing Automation Lead to build, implement, and manage the CRM, automation, patient communication, and marketing infrastructure across multiple healthcare practices. This is a hands-on systems-building position . We are not looking for someone who simply knows how to use a CRM. We are looking for someone who has personally built and managed CRM systems, workflows, automations, lead pipelines, and marketing campaigns and can take a business objective and turn it into a functioning system. The ideal candidate is technically strong, highly organized, fast-moving, solutions-oriented, and comfortable working independently. You should be the type of person who can look at a process and say: "This can be automated." Then build it.
Key Responsibilities:
CRM & Lead Management Build and organize CRM systems across multiple healthcare practices and business divisions Manage leads generated through websites, Google, lead-generation platforms, and other sources Design and maintain lead pipelines Track leads from initial inquiry through conversion and patient care Maintain accurate and organized CRM data Develop reporting and tracking systems to measure lead and patient activity Create systems that allow leadership to quickly understand what is happening with each lead and patient Identify opportunities to improve lead conversion and patient retention GoHighLevel & Marketing Automation Build and manage GoHighLevel CRM systems Create workflows, triggers, pipelines, forms, campaigns, and automations Develop automated SMS and email campaigns Build lead-nurturing sequences Automate appointment confirmations and reminders Create automated missed-appointment and cancellation follow-up Build patient reactivation campaigns Develop automated communication based on patient status, service, and activity Troubleshoot and optimize existing workflows Integrate CRM systems with other software platforms Identify repetitive processes that can be automated Patient Retention & Reactivation Develop systems designed to improve patient engagement and reduce patient attrition, including: Missed appointment follow-up Cancellation follow-up Patient reactivation Patient satisfaction and feedback campaigns Google review campaigns Birthday communications Monthly newsletters New service announcements Promotional campaigns Cross-marketing appropriate services Re-engagement of patients who have discontinued care Healthcare Technology Healthcare experience is strongly preferred. Experience with the following is particularly valuable: GoHighLevel NextGen PracticeKey EHR systems Practice-management systems CRM integrations Healthcare marketing platforms Patient communication systems AI & Emerging Technology Identify practical applications for AI within CRM and marketing operations Use AI to improve efficiency and reduce repetitive work Evaluate new AI and automation tools Implement AI-assisted workflows where appropriate Identify opportunities to automate manual processes Help the organization stay current with rapidly developing AI technology Required Qualifications Demonstrated hands-on CRM experience Strong GoHighLevel experience Experience building CRM workflows and automations Experience with lead pipelines and lifecycle management Experience with automated email and SMS campaigns Strong technical troubleshooting skills Strong organizational and analytical skills Ability to independently build and implement systems Ability to translate business objectives into technical solutions Ability to work quickly and independently Strong written and verbal communication High attention to detail Strongly Preferred Healthcare or medical marketing experience Experience working with medical practices NextGen experience PracticeKey experience EHR/practice-management experience Experience integrating multiple software platforms Patient reactivation experience Reputation/review management experience AI and automation experience Experience managing CRM systems across multiple locations or divisions This Is Not an Entry-Level Position We are specifically looking for someone who has done this before . This position is not intended for someone who needs to be taught the fundamentals of CRM architecture, GoHighLevel, marketing automation, or workflow development. If you have built these systems before, we want to hear about them. If you have only used a CRM as an end user, this is probably not the right position. Leadership should be able to understand: Where a lead came from Where the lead is in the process Whether the lead converted What happened after conversion Whether the patient is actively receiving care When a patient has stopped coming Which patients require follow-up Which patients are candidates for reactivation Which marketing campaigns are producing results Which processes can be automated Where opportunities exist to improve patient retention The goal is to build a system that is organized, measurable, scalable, and increasingly automated. Working Environment The selected candidate will work directly with leadership and alongside an internal team responsible for assisting with implementation and ongoing management. The initial expectation is Monday-Friday in Tustin, California , working closely with the internal team during implementation. This position will have significant responsibility for designing, implementing, improving, and managing the organization's CRM and automation systems. Contract-to-Hire The initial engagement is expected to begin as an independent contractor relationship. If the systems are successfully implemented and the working relationship develops well, there is potential for a longer-term employment opportunity. We are looking for someone interested in building something substantial and becoming an important part of the organization's technology and marketing infrastructure.

Pay:
