Job Description

Medical Office Manager Rehab Medicine of the Carolinas - Clemmons, NC About Us Rehab Medicine of the Carolinas is a growing multidisciplinary medical practice focused on rehabilitation medicine, osteoporosis, chronic pain management, weight management, neuromuscular conditions, stroke and spinal cord injury rehabilitation, and improving quality of life for our patients. We are seeking a strong, organized, proactive Medical Office Manager to help lead day-to-day operations, improve efficiency, support staff accountability, and help grow a high-quality patient-centered practice. Position Summary The Medical Office Manager is responsible for overseeing the daily operations of a busy outpatient medical practice. This individual will supervise front office operations, scheduling workflows, staff coordination, patient experience, operational systems, and administrative processes while working closely with the physician owner and clinical leadership team. This role requires someone who is highly organized, detail-oriented, professional, capable of multitasking, and comfortable managing both people and processes in a fast-paced healthcare environment. Responsibilities Office Operations Oversee daily clinic operations and workflow efficiency Ensure smooth patient flow and high-quality customer service Manage front office staff schedules and responsibilities Monitor clinic productivity and reduce scheduling gaps/no-shows Troubleshoot operational issues proactively Maintain professionalism and accountability across the team Scheduling & Patient Experience Ensure patients are greeted professionally and promptly Monitor appointment scheduling accuracy Help optimize provider schedules and clinic volume Address patient concerns professionally and efficiently Improve patient communication and follow-up systems Administrative Duties Supervise insurance verification and referral workflows Assist with prior authorizations and operational coordination Monitor task management systems and office inboxes Ensure completion of assigned administrative tasks Support implementation of office policies and procedures Leadership & Staff Management Train and supervise administrative staff Hold staff accountable for professionalism and performance Assist with onboarding and workflow training Conduct regular operational check-ins with staff Help foster a positive, team-oriented environment Technology & Systems Experience with EMR systems preferred (Tebra/Kareo experience a plus) Utilize scheduling and workflow management systems Monitor operational metrics and workflow bottlenecks Assist with implementation of efficiency improvements Qualifications Minimum 2 years of medical office management experience preferred Experience supervising staff in a healthcare setting Strong organizational and leadership skills Excellent communication and problem-solving abilities Ability to multitask in a fast-paced environment Professional demeanor with strong customer service skills Experience with insurance verification, referrals, and scheduling preferred EMR experience required Knowledge of outpatient medical office operations preferred Preferred Experience Physical medicine & rehabilitation Pain management Orthopedics/spine Multidisciplinary outpatient practice Tebra/Kareo EMR Compensation & Benefits Competitive salary based on experience Paid time off Opportunities for growth and leadership development Supportive team environment Medical, dental, and vision benefits Full-time position Schedule Monday-Thursday Day shift Full-time Work Location Rehab Medicine of the Carolinas 2554 Lewisville-Clemmons Rd, Suite 201 Clemmons How to Apply Please submit: Resume References Brief description of your medical office management experience Call or contact: 336-986-9537 contact@rmotc.org
