Job Description

Job Overview The Medical Office Manager is responsible for overseeing the daily operations of a fast-paced personal injury medical practice specializing in interventional pain management and neurology, with a primary focus on patients involved in auto accidents. This role requires a highly organized, proactive, and well-rounded professional who can effectively manage both front and back office functions, ensure regulatory compliance, and support optimal patient care and workflow efficiency. Key Responsibilities Operations Management Oversee day-to-day clinic operations to ensure efficiency, productivity, and high-quality patient care Coordinate scheduling, patient flow, and provider support across departments Identify and implement process improvements to optimize workflow and reduce bottlenecks Manage vendor relationships, supplies, and equipment maintenance Front Office Oversight Supervise patient scheduling, registration, and check-in/check-out processes Ensure excellent patient experience and customer service standards Handle patient inquiries, complaints, and escalations professionally Back Office Coordination Oversee clinical support staff including medical assistants and technicians Ensure proper documentation, charting, and EMR compliance Maintain efficient patient flow between providers and clinical staff Billing & Revenue Cycle Management Supervise billing processes related to personal injury cases, including lien-based and third-party billing Ensure accurate coding, charge capture, and claim submission Monitor accounts receivable, collections, and case settlements Work closely with attorneys, case managers, and insurance representatives Compliance & Regulatory Oversight Ensure full compliance with HIPAA, OSHA, and all applicable federal and state regulations Maintain up-to-date policies, procedures, and staff training Conduct regular audits and implement corrective actions as needed Staff Management & Leadership Recruit, train, and supervise administrative and clinical staff Conduct performance evaluations and provide ongoing coaching Foster a positive, team-oriented work environment Manage staffing schedules and coverage Reporting & Administration Prepare operational and financial reports for leadership Track key performance indicators (KPIs) such as patient volume, revenue, and efficiency metrics Assist with budgeting and financial planning Qualifications Bachelor's degree in healthcare administration, business, or related field preferred Minimum of 3-5 years of experience in medical office management, preferably in personal injury, pain management, or neurology Strong knowledge of personal injury workflows, including lien cases and attorney coordination Experience with EMR/EHR systems and medical billing software Working knowledge of
CPT/ICD-10
coding and revenue cycle processes Thorough understanding of HIPAA and OSHA compliance requirements Skills & Competencies Strong leadership and team management skills Excellent organizational and multitasking abilities High attention to detail and problem-solving skills Effective communication and interpersonal skills Ability to work in a fast-paced, high-volume environment Financial acumen and understanding of practice performance metrics Preferred Experience Experience in interventional pain management and/or neurology practices Familiarity with auto accident/personal injury case management workflows Experience working with attorneys and lien-based billing systems Work Environment Fast-paced outpatient medical office Frequent interaction with patients, providers, attorneys, and insurance representatives May require occasional extended hours depending on patient volume and operational needs Compensation & Benefits Competitive salary based on experience Performance-based incentives Health benefits, PTO, and other standard benefits (if applicable) This role is critical to ensuring the smooth operation, compliance, and financial success of the practice while delivering high-quality care to patients recovering from auto-related injuries.

$25.00 - $30.00 per hour
