Job Description

Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This vital role offers an exciting opportunity to support various administrative functions, enhance office efficiency, and provide exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to manage multiple responsibilities with enthusiasm. Whether managing front desk duties, handling correspondence, or supporting office management tasks, you will play a key role in creating a welcoming and productive environment for staff and visitors alike. Responsibilities Greet visitors and clients at the front desk with professionalism and a friendly attitude, ensuring excellent customer service. Perform data entry and maintain accurate records using Microsoft Office applications Handle filing, document proofreading, and organize office supplies to ensure a tidy and efficient workspace. Support calendar management and schedule appointments or meetings for staff members as needed. Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices. Provide clerical support such as copying, scanning, mailing, and preparing correspondence or reports. Skills Proven experience in office management or administrative support roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive). Excellent computer literacy with the ability to quickly adapt to new software applications. Strong phone etiquette skills with experience managing multi-line phone systems effectively. Bilingual in English and Chinese. Previous experience as a receptionist or in customer service roles demonstrating professionalism and excellent communication skills. Knowledge of clerical procedures such as filing, data entry, proofreading, and record keeping. Ability to prioritize tasks efficiently using time management techniques while maintaining attention to detail.
