Job Title:
Office Assistant - Aerospace Machine Shop Job Summary The Office Assistant provides administrative and operational support to an aerospace machine shop, ensuring accurate order processing, inventory visibility, and effective supplier communication. This role supports production flow by managing order entry, generating purchase and work orders, and maintaining documentation critical to aerospace manufacturing. Key Responsibilities Order Entry & Processing Accurately enter customer orders into the ERP/MRP system Generate internal work orders and required manufacturing documentation Print and distribute work orders, routers, and engineering drawings to the shop floor Inventory & Material Status Monitor inventory levels and material availability Update inventory status and assist with material allocations for active jobs Coordinate with purchasing and production to prevent material shortages Purchasing & Supplier Communication Generate purchase orders as directed Communicate with suppliers to obtain order confirmations, delivery dates, and status updates Track and follow up on open purchase orders to ensure on-time delivery Documentation & Records Maintain organized digital and physical records of orders, drawings, and supplier documentation Ensure documentation accuracy and availability for production and quality requirements Support aerospace traceability and documentation standards General Administrative Support Answer phones and emails and route inquiries appropriately Support production, quality, and management teams with clerical tasks Perform additional administrative duties as assigned Qualifications & Skills High school diploma or equivalent (associate degree preferred) Previous office or administrative experience; manufacturing environment required Experience with ERP/MRP systems and Microsoft Office (Excel, Word, Outlook) Ability to handle and organize engineering drawings and technical documents Strong attention to detail and organizational skills Clear written and verbal communication skills Ability to manage multiple priorities in a fast-paced shop environmentWork Schedule Hours:
5:00 AM - 3:30PM Schedule:
