MAIN PURPOSE OF JOB
The Office Assistant / Receptionist provides administrative, clerical, and front-desk support to ensure smooth daily operations across office and human resources functions within a busy manufacturing environment. This role serves as the first point of contact for visitors and employees while supporting administrative, HR, and management teams with a variety of operational tasks.
DUTIES AND RESPONSIBILITIES
Front Desk & Administrative Support Welcome and direct visitors, vendors, and delivery personnel in accordance with site safety and security procedures. Answer, screen, and route incoming calls in a professional manner; take messages as required. Maintain a clean, organized, and professional reception area at all times. Manage incoming and outgoing mail, courier services, and deliveries. Assist with coordination of meeting rooms and internal events. Provide general administrative support including document preparation, filing, scanning, and data entry. Human Resources Support Support recruitment activities such as job postings, application tracking, and interview scheduling. Assist with onboarding processes, including preparation of new hire documentation, orientation support, and completion of required forms. Maintain employee files, training records, and attendance tracking systems. Support compliance with HR policies, procedures, and documentation requirements. Assist with employee engagement initiatives, internal events, and recognition programs. Handle confidential information with a high level of discretion and professionalism. Support maintenance of training, certification, and safety-related records. Office & Facility Coordination Liaise with vendors and service providers regarding office and facility support needs. Assist in coordinating maintenance requests and repairs for office areas. Support internal communications by distributing announcements, updates, and policy-related information. Perform additional administrative duties and special projects as assigned.
GENERAL:
Complete all administrative tasks accurately and within required timelines. Actively participate in continuous improvement initiatives. Support a strong focus on quality, compliance, and error prevention in all administrative processes. Promote and follow all health and safety policies and procedures. Comply with all organizational policies, procedures, and standards at all times.
ORGANIZATIONAL RELATIONSHIPS
Reports to the Office Manager. Regular interaction with employees across all departments, external vendors, and service providers is required.
POSITION QUALIFICATIONS / REQUIREMENTS
Education and Experience:
High school diploma or equivalent required; additional education in office administration or human resources considered an asset. 1-3 years of experience in an administrative, receptionist, or HR support role. Experience in a manufacturing or industrial environment considered an advantage.
Knowledge, Skills, and Abilities:
Strong organizational and multitasking abilities in a fast-paced environment. Excellent verbal and written communication skills. Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Ability to handle confidential and sensitive information appropriately. Professional, reliable, and positive approach to work. Ability to interact effectively with employees at all levels of the organization.
ATTENDANCE
Full-time attendance is required.
TRAVEL:
Occasional travel may be required for training, meetings, or support at other locations, which may include overnight stays.
PHYSICAL / AGILITY REQUIREMENTS
This role requires regular sitting, standing, walking, and occasional lifting of office materials or supplies.
WORK ENVIRONMENT
Primarily office-based environment using standard office equipment such as computers, telephones, printers, and copiers. Work is generally performed in a controlled indoor office setting within a manufacturing facility.
Pay:
$20.00 - $21.00 per hour
