The Office Manager is responsible for the daily administrative operations of the practice, ensuring smooth workflow, excellent client experience, and efficient coordination of office systems and staff support. This role oversees administrative processes, supports the administrative team, maintains office organization and compliance standards, and serves as a key communication point between leadership, clinicians, clients, and administrative staff. The Office Manager helps create a welcoming, organized, and professional environment that supports both client care and practice growth. Responsibilities Oversee administrative and office operations to ensure smooth workflow and efficient client support. Oversee front office operations, including reception coverage, scheduling support, and communication workflows. Provide administrative team support and supervision including onboarding, training, and ongoing supervision of administrative employees Manage all administrative schedules and coordinate team meetings Oversight of client relations and scheduling Provide systems and operations support to leadership by knowing and implementing all policies and procedures including HIPAA compliance Oversee daily financial and administrative operations, ensuring accurate invoicing, timely insurance billing, and proactive account collections to maximize cash flow. Participate in additional shared administrative responsibilities Requirements Proven experience in office management or administrative roles with strong clerical skills and organizational abilities. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy. Excellent phone etiquette with experience managing multi-line phone systems and providing superior customer service. Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Previous experience in roles such as dental or medical receptionist, personal assistant, or office coordinator is highly desirable. Knowledge of clerical procedures including filing systems, data entry, proofreading, and calendar management.
