Position Overview We are seeking a highly experienced Dental Office Manager to lead the full operations of our practice. This is a senior-level leadership role responsible for driving performance, optimizing systems, and leading a high-performing team. This position is best suited for a proven dental operations leader who has successfully managed a busy practice, understands key performance drivers, and is confident making decisions that impact growth, efficiency, and team accountability. Key ResponsibilitiesPractice Leadership & Operations Direct full-cycle practice operations with a focus on efficiency, profitability, and patient experience Lead, manage, and hold accountable the front office and administrative teams Ensure seamless daily operations, including schedule flow, patient throughput, and team coordination Implement and refine systems, policies, and workflows that support scalability and consistency Serve as the primary operational partner to the doctors Team Leadership & Development Hire, onboard, train, and develop high-performing team members Lead performance management, including coaching, reviews, and accountability measures Foster a results-driven, positive, and professional culture Run effective team meetings aligned with practice goals and KPIs Financial Oversight & Performance Management Own and manage key financial metrics including production, collections, case acceptance, and AR Oversee insurance, billing, and collections with a strong understanding of profitability drivers Ensure accurate treatment plan presentation and financial arrangements Monitor and improve practice performance through data-driven decision-making Scheduling & Growth Strategy Optimize provider schedules to maximize productivity and efficiency Identify and implement strategies to improve patient flow and revenue Oversee online scheduling systems (Jarvis) and front office processes Patient Experience Maintain a high-end, service-driven patient experience Address escalated patient concerns with professionalism and resolution-focused communication Drive patient retention and long-term relationship building Compliance & Systems Management Ensure full compliance with HIPAA and regulatory requirements Maintain accuracy and integrity of patient records Oversee practice management systems, technology, and vendor relationships Required Qualifications Minimum 3-5 years of proven success in dental office management (required) Demonstrated experience leading a team in a high-production or growth-focused practice Strong expertise in dental insurance, billing, AR management, and treatment planning Hands-on experience with Open Dental software (required) Track record of improving systems, workflows, and practice performance Strong financial acumen and comfort managing KPIs What Sets You Apart You have successfully led a dental practice with measurable results You are confident holding a team accountable while maintaining a positive culture You think like an owner and proactively identify opportunities for growth and improvement You are highly organized, decisive, and thrive in a fast-paced environment You bring both strategic thinking and hands-on execution Why Join Toothbar?
