Job Description

Job Overview We are seeking a highly organized and dynamic Office Manager to oversee the daily operations of a busy Gastroenterology Clinic. The ideal candidate will possess extensive experience in medical office management, demonstrating exceptional leadership, administrative, and financial skills. This role requires a proactive approach to managing clinic workflows, ensuring compliance with healthcare regulations, and fostering a positive environment for staff and patients alike. The Office Manager will serve as the central point of contact for all administrative functions, supporting the delivery of high-quality patient care through efficient practice management. Duties Oversee all administrative functions within the clinic, including scheduling, patient intake, and medical records management. Supervise clinical and administrative staff, providing leadership, training, and performance evaluations to ensure optimal team performance. Manage fiscal responsibilities such as budgeting, billing processes, insurance claims, and financial reporting using systems like Eaglesoft, Dentrix, or eClinicalWorks. Ensure compliance with healthcare regulations including HIPAA privacy standards and JCAHO accreditation requirements. Coordinate human resources activities including recruitment, onboarding, staff scheduling, and conflict resolution. Oversee medical office operations including EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems to ensure accurate documentation and data security. Implement practice management strategies to improve workflow efficiency and patient satisfaction while maintaining high standards of medical management. Maintain inventory control of medical supplies and equipment, ensuring cost-effective procurement aligned with budget goals. Facilitate communication between physicians, nursing staff, billing departments, and external healthcare providers to optimize patient care delivery. Monitor clinic performance metrics related to utilization management, managed care contracts, and quality assurance initiatives. Qualifications Proven experience in medical office or healthcare management within a clinical setting; gastroenterology or specialty clinic experience is highly desirable. Strong background in fiscal management including budgeting, financial analysis, and revenue cycle management. Demonstrated supervisory experience managing multidisciplinary teams in a healthcare environment. Proficiency with EMR/EHR systems such as Eaglesoft, Dentrix, Epic, or eClinicalWorks; familiarity with medical records documentation standards is essential. Knowledge of HIPAA regulations and healthcare compliance standards such as JCAHO accreditation processes. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong understanding of medical terminology and clinical workflows related to gastroenterology or acute care services.
