This role helps ensure smooth clinic flow by managing scheduling processes, supporting staff coverage, maintaining inventory and systems, and stepping in operationally when gaps arise. This position is hands-on, highly flexible, and essential to keeping the clinic organized, supported, and running efficiently. Essential Duties and Responsibilities Daily Operations Support Provide general operational support to leadership, administrative staff, and the clinical team as needed Assist with real time problem solving to keep the clinic running smoothly throughout the day Step in to support clinic flows, including covering one-on-one therapy, or assisting during high need times throughout the day Schedule and Staffing Support Assist with staff schedule adjustments, including facilitating switches, coverage, nap supervision, and gap management Help troubleshoot and resolve scheduling gaps or conflicts Support communication of schedule changes to staff to ensure clarity and consistency Update and maintain the clinic schedule to ensure accuracy for billing purposes daily Daily approval and review staff timesheets for accuracy and completeness Front End and Communication Support Answer phones and assist with incoming calls in a professional and timely manner Be the main point of contact at the front desk, and help visitors and families in a timely manner Provide a high level of customer service Complete intake calls and schedule client intakes as needed Assist with general phone inquiries and follow-up communication Help maintain clear and consistent communication across all teams Inventory and Center Management Manage inventory of clinic supplies across all areas Maintain organization and stock of cleaning, bathroom, office, and kitchen supplies Track and manage inventory of client items including clothing, diapers and wipes, and food Maintain client inventory records and send updates through text system as scheduled Oversee upkeep of office equipment such as printers, vacuum cleaners, and kitchen appliances Assist with maintaining a clean, organized, and functional clinic environment Assist with opening and closing duties as needed Clinical and Training Support Maintain active RBT certification and assist on the floor as needed Support training for new staff, including facilitating PowerPoint trainings and hands-on floor training Assist in coordinating training schedules for new and existing staff Administrative and Recruitment Support Complete phone interviews with prospective candidates Assist with recruitment-related tasks as needed Prepare and distribute monthly client newsletters Promote center positivity and company culture through internal celebrations, including anniversaries, birthdays, themed weeks, and milestone celebrations. All gifts, cards, decorations, or recognition materials must be purchased or prepared no later than the day before the scheduled celebration. If necessary, items may be acquired the morning of the celebration to ensure timely presentation on the employee's special date. Support additional administrative tasks and special projects as assigned Qualifications Active RBT Certification Experience in an ABA setting preferred Strong organization and multitasking skills Ability to be flexible and step into different roles as needed throughout the day Strong communication and problem solving skills Attention to detail Work Environment & Expectations Position requires regular on site presence to support daily clinic operations Must adhere to company policies, confidentiality requirements, and professional conduct standards
Pay:
$15.00 - $18.00 per hour
