Job Description

JOB DESCRIPTION
Your position will be at our eye clinic in Salem. it is entry level with areas of responsibility to include:
PRIMARY GOALS
[
PATIENT APPOINTMENT MANAGEMENT
] Schedule appointments ( by phone & in person ) Confirm appointments Rearrange appointments to fill any last minute openings in schedule Contacting and follow-up on missed appointments Patient follow-up phone calls from TASK section of patient record [
PATIENT PROCESSING
] Collect any co-pays or open balances flagged to be paid at check in Be part of a team that processes final check out which includes billing and ordering [
RECEPTIONIST & PHONE SKILLS
] Greet patients when they arrive Registration including HIPAA, Insurance card and patient demographics Keep reception area clean, stocked & in order Keep restroom in order (monitor at midday) Answer telephone lines & questions from these calls and two-way text communications from patients Screen Incoming calls for Doctors Monitor Office E-mail Check voice messages Intercom [
CLERICAL
] Process incoming and outgoing mail Process incoming and outgoing faxes In Office printing (including but not limited to office brochures, business and appointment cards) Assist Doctor in personal or civic related correspondence. Assist Practice Manager in statement mailing Assist Practice Manage in posting insurance payments Assist Practice Manage on claim re-submission Order supplies Keep Manufacturers Safety Data Sheets current. [
OPTICAL & DISPENSARY
] Frame styling, adjustment & repair Dispensing glasses Keeping optical stocked Inventorying new product for optical Use of Lensometer [OTHER] Open the office per daily requirements Close the office and prepare deposit Office cleaning Assisting team members as needed Special assignments from doctors, practice manager or team leaders Future opportunities could include work in our optical lab including tinting and edging lenses.
NOTE ABOUT QUALIFICATIONS
Experience in eye care, optics, terminology and billing is helpful but not required. We excel in teaching and staff development. This is an entry level position. We love to promote from within. SUMMARY In the role of a team member of our Business Office & Optical Team, you will be essential in delivering outstanding patient care and managing the front office operations of our optometry clinic. Your skills will support effective patient interactions and ensure smooth clinic operations. Utilizing your skills, you will assist with patient intake, manage medical records, and provide essential support in both our medical & optical retail environment. Join our team to enhance patient experiences and contribute to our commitment to quality eye care. Our office is open one Saturday per month. During that week, you will have a scheduled weekday off.
