$35,000 Job Summary The Records and Data Specialist supports the integrity, accuracy, and management of student academic records within the university's Student Information System. This role plays a critical part in ensuring data quality, supporting registration processes, and providing responsive service to students, faculty, and staff.
Key Responsibilities Records Management:
Maintain and update student academic records, including enrollment, grades, and transcript requests. Process registration changes such as course add/drop, withdrawals, and schedule adjustments. Ensure compliance with university policies and FERPA regulations when handling sensitive student information.
Data Entry and Integrity:
Input, verify, and update student records in the university's Student Information System (SIS). Ensure data integrity across systems and processes to accurate and that there timely reporting. Conduct regular audits to ensure accuracy and consistency of data. Identify and resolve data discrepancies Support data reporting and analysis related to enrollment, graduation, and academic performance.
Customer Service and Support:
Respond to inquiries from students, faculty, and staff regarding academic records, registration procedures, and institutional policies. Assist students with transcript requests, enrollment verification, and degree audits. Collaborate with Admissions, Academic Affairs, and Student Services to ensure data accuracy and student success. Provide front-line support via phone, email, and in-person interactions. Salem University offers a comprehensive benefits package, including health insurance
Technology and Systems Support:
Serve as a functional user of the Student Information System (e.g., Anthology Student, Banner, PeopleSoft, etc.). Support system enhancements, testing, and process improvements. Assist in troubleshooting issues related to student records and data management. Support the implementation of system updates, process improvements, and initiatives.
Administrative and Compliance Support:
Assist in the preparation of official academic documents and reports. Ensure compliance with institutional policies and state/federal regulations related to student records. Perform other duties as assigned to support the Registrar's Office operations. Qualifications Education, experience, and other requirements: High school diploma with 1-3 years of related experience. Excellent verbal and written communication skills. Ability to work independently and collaboratively in a team-oriented environment. Customer service oriented.
Preferred:
Associate degree in a related field. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience working in a higher education setting or with student records. Familiarity with Student Information Systems (e.g., Anthology Student, Banner, PeopleSoft, etc.). Knowledge of FERPA regulations and best practices for data security. Working Conditions Office environment with standard working hours. Occasional evening or weekend work may be required during peak registration periods. Ability to sit and use a computer for extended periods.
