Job Description

Project Manager Headquarters Location:
958 Corporate Blvd, Aurora, IL 60502
Responsibilities:
Project Management :
Manage multiple projects from ordering through scheduling to post-job follow-up, ensuring work is completed accurately, efficiently, and to customer expectations. Maintain consistent follow-through on all active jobs to keep work progressing and prevent delays in completion.
Scheduling and Coordination:
Maintain a proactive, organized schedule for field employees that stays ahead of upcoming work and allows for efficient planning. Work with your Service Administrator to assist with scheduling updates, and communication. Adjust schedules as needed based on job readiness, customer needs, or material delivery timing, while staying calm and flexible when unexpected changes occur to keep schedules balanced and efficient.
Customer Communication:
Maintain clear, professional communication with customers throughout each project. Provide timely updates, respond promptly to calls or emails, and ensure all questions or concerns are addressed accurately. Handle challenging conversations or customer frustrations with patience and professionalism to maintain strong, long-term customer relationships built on trust and reliability.
Team Leadership:
Lead and support field employees and your Service Administrator, as well as other office co-workers, to maintain a productive, accountable, and consistent team environment. Provide clear direction, coaching, and feedback to help employees grow while ensuring work is completed safely, accurately, and efficiently.
Technical Oversight:
Maintain a working knowledge of company products, equipment, and installation standards to support field employees as needed. Review completed work for quality and accuracy, confirm compliance with company and manufacturer requirements, and assist in troubleshooting technical questions that arise during service or installation.
Billing and Documentation:
Review completed job documentation and project details for accuracy before submission. Ensure all jobs are billed correctly and promptly, and communicate with the Accounting Department as needed to clarify project details or resolve billing issues. Maintain organized, accurate records within company systems to support timely invoicing and recordkeeping.
Material and Logistics Management:
Coordinate with the purchasing team, the shop, field employees, and your service administrator to ensure materials move efficiently between suppliers, the shop, and job sites. Monitor material orders, deliveries, and returns to prevent shortages or delays, and maintain clear communication across teams to keep projects on schedule.
System Accuracy:
Maintain accurate and up-to-date information in company and customer work order systems. Ensure job notes, time entries, and project statuses are updated promptly and consistently to support clear communication and accurate reporting.
Cross-Department Collaboration:
Work closely with all departments to keep projects, quotes, and billing details aligned. Provide accurate information and clear communication across teams to support smooth operations, accurate job setup, and timely billing.
Operational Improvement:
Continuously look for ways to improve efficiency, communication, and consistency within your territory and the company. Identify process gaps or recurring issues, recommend practical solutions, and work with leadership to implement improvements that strengthen daily operations and overall workflow reliability.
Experience:
Industry Knowledge:
Experience in the automatic door industry is highly preferred but not required. Candidates with backgrounds in construction, building trades, or other mechanical service industries are strongly encouraged to apply. A solid understanding of field operations, material handling, and service workflows supports success in this role.
Computer and System Skills:
Solid computer proficiency is important for success in this role. Daily responsibilities involve using company systems for scheduling, documentation, communication, and reporting. Candidates should be comfortable learning new software and managing work accurately within digital platforms.
Project and Operations Management:
Proven ability to manage multiple projects or job orders at once while maintaining clear priorities, accurate communication, and strong follow-through until completion.
Field Leadership and Coordination:
Experience leading or coordinating field employees, subcontractors, or crews in construction, service, or facility environments. Able to direct work efficiently and adapt to changing conditions without losing focus or organization.
Customer and Team Communication:
Demonstrated success in maintaining professional communication with customers and internal teams. Skilled at managing expectations, resolving issues calmly, and maintaining long-term relationships built on trust and accountability.
Problem-Solving and Accountability :
Takes ownership of challenges and finds practical solutions rather than assigning blame. Proactively addresses issues to keep work moving and customers satisfied.
Technical Understanding:
Familiarity with mechanical or construction-related systems is preferred. Able to learn company products, procedures, and safety standards to support field operations and ensure quality results.

Position Requirements:
Education:
High school diploma or GED equivalent required; additional technical or management training is a plus.
Background Check:
Must pass a pre-employment background check and drug screening.
Computer Proficiency:
Must be confident and capable using computer systems for scheduling, documentation, communication, and reporting. Able to learn new software quickly and maintain accuracy in all digital work.
Communication Skills:
Strong written and verbal communication skills with the ability to communicate clearly and professionally with customers, coworkers, and leadership. Ensures information is shared accurately and follow-up is consistent across all teams.
Organizational Skills:
Highly organized with the ability to manage multiple projects and priorities while maintaining clear schedules, accurate information, and consistent follow-through in a changing environment.
Problem-Solving:
Uses sound judgment to assess issues, identify solutions, and make timely decisions that keep projects and teams moving forward efficiently.
Adaptability:
Able to stay organized and effective when priorities shift or unexpected challenges arise.
Work Environment:
Works primarily in an office setting with regular interaction and coordination among coworkers. Must be comfortable in a team-oriented environment and able to stay focused in a shared workspace.
Physical Requirements:
Must be able to lift and carry up to 40 lbs. as needed for occasional material handling or office support tasks.
Attendance:
Consistent punctuality, reliable attendance, and a professional, dependable attitude are required to support team operations and customer commitments.
Work Schedule:
Standard full-time schedule (40 hours per week) with occasional overtime based on workload or scheduling needs.
