  • Part-time Job Overview The Reentry & Administrative Assistant provides administrative and program support to ensure the efficient operation of the office and Transitional Housing Program.
This position supports staff, participants, volunteers, and community partners through office coordination, housing preparation, and inventory management. The role requires strong organizational skills, professionalism, discretion, and the ability to work collaboratively with diverse populations, including individuals involved in the justice system. Key Responsibilities Administrative & Office Support Answer and direct phone calls, voicemails, visitors, and general inquiries to appropriate staff. Complete data entry, filing, scanning, copying, mailings, and general correspondence. Maintain organized records, spreadsheets, and electronic files using Microsoft Office and Google Workspace. Maintain office equipment and communicate repair or maintenance needs. Monitor and organize office and program supplies and inventory. Cross-train to assist with coverage for other prorgams or activities when needed. Support special projects and other administrative tasks as assigned. Transitional Housing Program Support Prepare apartments and supplies for new participant arrivals, including bedding, clothing, personal care items, cleaning supplies, and basic groceries. Assist with grocery shopping and other basic support needs for participants reentering the community. Support move-in coordination and unit restocking. Track apartment, office, and storage inventory and communicate supply and maintenance needs. Coordinate and maintain spreadsheets, inventory logs, and related documentation. Provide occasional in-person backup support for housing or program operations as needed. Collaboration & Professional Conduct Work collaboratively with the staff and participants. Attend staff meetings, trainings, supervision sessions, and program activities as required. Demonstrate professionalism, strong boundaries, sound judgment, and a supportive, team-oriented approach. Maintain confidentiality and handle sensitive information with discretion. Qualifications High school diploma or equivalent; associate's degree and 3 years experience preferred. Strong organizational, communication, and documentation skills. Ability to manage multiple tasks and work independently. Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace. Strong interpersonal skills and ability to work effectively with diverse populations. High level of professionalism, discretion, and confidentiality. Valid driver's license and reliable transportation. Ability to lift up to 30 pounds. Flexibility to work occasional evening or weekend hours as needed. Preferred Experience in administrative support, social services, restorative justice, reentry services or with justice-involved individuals Flexibility, adaptability, and a sense of humor. Work Environment This position is primarily office-based with some responsibilities occurring in the community, including grocery shopping, apartment preparation, and inventory coordination. Regular interaction occurs with participants, volunteers, and staff. Some light physical activity and occasional evening or weekend responsibilities may be required.
