Job title Sales and Events Coordinator Reports to Director of Sales Classification Full-time, Hourly, Non-exempt Working Hours As required, extended hours to include weekends and holidays Job purpose The Sales and Events Coordinator plays a key support role within the Clubs Sales and Events team. This position is responsible for detailing contracted events, coordinating onsite activations, and assisting with day-of execution in partnership with Sales, Events, and Operations teams to ensure a seamless and high-quality guest experience. Duties and responsibilities Sales and Event Detailing Support Support the Director of Sales in detailing all contracted events from initial booking through execution. Prepares and distributes Banquet Event Orders (BEOs), timelines, and detailed function sheets. Serves as a liaison between Sales, Events, and Operations teams Maintains organized and up-to-date records of event details, updates, and client preferences. Experiential and Onsite Activation Coordination Coordinates onsite experiential and branded activations for contracted events. Communicates logistics with Operations, Food & Beverage, Guest Services, and external vendors. Assist with planning decor, entertainment, activities, and experiential enhancements. Event Execution and Day-Of Support Assists the Event Team with day-of coordination and event flow management. Provides onsite client support to ensure a high-quality guest experience. Troubleshoots and resolves issues in real time during events. Administrative & Team Support Provides administrative support to the Sales & Events team. Participates in site visits, planning meetings, and pre-event walkthroughs. Upholds Club service standards at all times. Perform other duties assigned. Qualifications 1-3 years of experience in hospitality, events, or sales coordination preferred Strong organizational and communication skills Ability to manage multiple priorities in a fast-paced environment Availability to work evenings, weekends, and holidays as required Working conditions Work is both indoors and outdoors. Potential exposure to sharp and rapid equipment movement, sharp utensils, harmful chemicals, and/or solvents if proper safety procedures are not followed. All requirements are subject to possible modification to reasonably accommodate individuals with a disability. Physical requirements Good organizational and verbal skills. Ability to use logical and rational thinking to resolve issues. Ability to perform basic mathematical skills, monitor and develop subordinates, visually monitor the operation areas, and write and read member communication. Must have the ability to perform moderate physical work and may be required to lift up to 50 lbs. and up to 20 lbs. frequently. Perform activities such as bending, kneeling, crouching, climbing, reaching, standing, pushing, lifting, and grasping for up to 5 hours without sitting. Ability to consistently lift, carry, and load adaptive and other sports equipment that may weigh 50 or more pounds, and sustain aerobic activity for 20 consecutive minutes. Please be advised that all work that requires the use of a ladder more than 8 ft. long must be reviewed by Hampton Golf Clubs Maintenance person. Following an assessment of the situation, a determination will be made as to whether a maintenance team member or subcontractors will perform the necessary maintenance task. No other staff member is authorized to climb to heights exceeding 8 ft. and/or perform such maintenance.
