We work with homeowners, developers, contractors, and property owners — and because we have an in-house design team preparing architectural plans, we're able to offer clients a complete path from design through permit issuance. Getting a project approved isn't just paperwork — it's a relationship business. Plans sit with city reviewers, questions come back, engineers need to weigh in, clients want to know what's actually happening. We're looking for someone who can own that relationship on all sides: the client who wants answers, and the city officials, plan checkers, and engineers who have them. About the Role We're hiring an Account Manager / Permit Coordinator to serve as the primary point of contact between our clients and everyone involved in getting their project permitted — city planning and building departments, plan checkers, permit techs, structural engineers, and contractors. This is not a data-entry or paperwork-routing role. It's a relationship and advocacy role: you're the person who knows the status of every project, knows who to call when something stalls, and knows how to ask the right question to get it moving. What You'll Do Client Relationship Management Serve as the main point of contact for residential homeowners and corporate clients (retail, restaurant, hospitality) throughout their project's permitting process Proactively communicate project status to clients with specifics — current stage, what's driving any delay, and the next concrete step — rather than a generic "still pending" Send plans to clients for review and approval, and manage their feedback Respond to client emails and calls promptly and knowledgeably City & Agency Coordination Communicate directly with city and county building/planning departments, plan checkers, permit techs, and officials Push each project forward by asking the right questions of reviewers and officials — identifying who's responsible, what's causing a delay, and when escalation is warranted — rather than passively waiting on a response Make submittals and pick up/drop off plans at city building and planning departments as needed Upload and download plans and corrections through city and agency portals Manage the issuance of permits once approvals are complete Project Coordination Track every project's status in Trello, including when corrections come back and when plans are sent to the structural engineer Coordinate with our in-house design team, structural engineers, and outside contractors to keep projects moving Flag risks or delays before they become client-facing problems Administrative Support (light) Keep project files and portal access organized Occasional coordination of ownership calendar/meetings related to client projects What We're Looking For Required Bachelor's degree Experience in a client-facing coordination role — account management, client services, project coordination, or similar — ideally in construction, architecture, real estate development, or a related field Comfort being persistent and assertive with government offices and third parties on a client's behalf Strong written and verbal communication skills; able to explain technical/process status in plain language to clients Highly organized and able to track multiple projects at different stages simultaneously Valid driver's license and reliable transportation (occasional travel to city offices and project sites) Preferred Experience with permit processing, plan checking, or municipal approval processes Familiarity with Trello or similar project-tracking tools Background or coursework in architecture, urban planning, or construction management Existing relationships with Southern California city planning/building departments What Makes You Successful You take ownership of a project rather than waiting to be told what's next You're comfortable pushing back and escalating — professionally — when something isn't moving You can hold a lot of moving pieces in your head (or your Trello board) without dropping them You're as comfortable talking to a homeowner as you are to a plan checker You like being the person who actually knows what's going on
