Their clients include insurance carriers, law firms, third-party administrators, and government agencies. Position Overview The Client Coordinator serves as the primary liaison between clients, physicians, examinees, and internal teams. This role is responsible for coordinating medical examinations, managing scheduling logistics, ensuring required documentation is received, and delivering outstanding customer service throughout the process. This is an excellent opportunity for someone who thrives in a high-volume, fast-paced environment and enjoys balancing administrative responsibilities with client communication. Key Responsibilities Schedule and coordinate independent medical examinations and related services. Communicate appointment details, changes, cancellations, and updates to clients, physicians, and examinees. Obtain and organize medical records needed for examinations. Prepare case files, appointment notifications, and supporting documentation. Coordinate ancillary services including interpreters, transportation, lodging, chaperones, and exam site rentals when needed. Respond promptly to phone calls, emails, and inquiries regarding scheduling and report status. Serve as the primary point of contact between clients and internal departments. Manage appointment confirmations and follow-up communications. Process mail, shipments, and other administrative tasks as required. Support additional office locations and assist with special projects as needed. Ensure confidentiality and accuracy while maintaining excellent customer service. Qualifications High school diploma or equivalent required. Minimum of 1 year of experience in an administrative, customer service, scheduling, or coordination role. Medical office experience preferred but not required. Strong communication and customer service skills. Comfortable handling multiple phone lines and a high volume of calls. Proficient with Microsoft Office and general computer systems. Ability to type at least 35 WPM. Strong organizational skills with the ability to multitask and prioritize effectively. Detail-oriented with a commitment to accuracy and quality. Ability to work independently while contributing to a collaborative team environment. Professional, reliable, and able to maintain confidentiality. Ideal Candidate Enjoys working in a fast-paced office environment. Has strong relationship-building and communication skills. Job Type & Location This is a Contract to Hire position based out of Woodbury, NY. Pay and Benefits The pay range for this position is $20.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
