About the Role The Branch Office Assistant is responsible for (1) supporting the operational efficiency of the office and (2) delivering a white-glove client service experience. This role ensures seamless daily operations by managing administrative tasks, maintaining organized records, answering the phone, and assisting with compliance tasks. Equally important, the Branch Office Assistant also serves as part of the Client Service Team by scheduling appointments, performing routine client account actions, and prep/follow-up for client meetings. By balancing meticulous administrative support with exceptional client service, this role plays a key part in the firm's success and the financial well-being of our clients. What You'll Do Administrative & Operational Support
  • Maintain office organization, files, and support the Branch Office Manager.
  • Manage office supplies, invoices, and vendor relationships.
  • Assist in planning and coordinating team events, internal meetings, and advisor travel needs.
  • Serve as the primary point of contact for incoming calls, ensuring professional and efficient communication.
  • Manage the firm's main email inbox, promptly reviewing, distributing, and responding to messages as appropriate.
  • Coordinate and distribute newsletters, birthday/holiday messages and gifts, and special client communications.
  • Manage website updates and other marketing materials through regulatory compliance channels.
  • Assist in planning community outreach efforts, including scholarship programs and special events.
  • Manage and maintain equipment and technology in conjunction with external support partners. Client Service Support
  • Serve as the first point of contact for clients, ensuring a warm and professional experience.
  • Assist with client inquiries, appointment scheduling, client meeting preparation, and follow-ups, and serve as back-up to the Client Service team.
  • Process client transactions, such as fund transfers, address changes, and investment information retrieval.
  • Support onboarding of new clients by gathering documentation and welcoming them to the firm.
  • Open new accounts for current clients, as directed.
  • Proactively contact clients for updates to their records/accounts and ensure clients receive the information they need or have requested.
  • Prepare client reviews and other periodic reports, as well as additional information for specific clients, as directed. This may include stock spreadsheets, rate of return reports, etc.
  • Ensure adherence to firm procedures, industry regulations, and data security policies.
  • Support document archiving and compliance reporting. What Success Looks Like

  • Education
  • An associate or bachelor's degree in business administration, finance, communications, or a related field preferred. Equivalent work experience will be considered.
  • Professional experience
  • 2+ years in the financial services industry is required. Additional experience in administrative/operational support, luxury/concierge, corporate executive support, or a high-touch client service role, preferably in a financial or professional services setting, is helpful.
  • Exceptional organization & attention to detail
  • Ability to manage multiple tasks with accuracy and efficiency, following established processes and procedures.
  • White-glove high-touch client service mindset
  • Anticipates client needs, handles inquiries with precision, and maintains a polished, professional demeanor to protect and nurture client relationships.
  • Strong communication skills
  • Professional verbal and written communication for both client and team interactions. Adaptable to our voice/style and free of typos and grammatical errors.
  • Familiar with technology
  • Experience with Microsoft Office Suite, Wealthbox CRM, Dropbox, Zoom, Adobe (PDFs and e-sign), Nextiva, AdvicePay, FMG Marketing Suite, Canva, AI tools, industry-specific intranet such as ClientWorks, and other business platforms.
  • Administrative expertise
