Overview:
The Client Coordinator plays a vital role in ensuring a seamless, welcoming and efficient experience for every guest who enters the spa. This position oversees client scheduling, front‑desk operations, spa maintenance and day‑to‑day support for both clients and providers. The Client Coordinator serves as the first point of contact for guests, upholding exceptional service standards while supporting the operational flow of the spa. This role is essential to maintaining a clean, organized and client focused environment that reflects the spa's brand and values.
Key Responsibilities:

    Client Scheduling & Front Desk Operations:
    Manage appointment scheduling, confirmations, check‑ins and check‑outs while ensuring accuracy and efficiency in the booking system.
      Client Experience:
      Greet clients warmly, answer questions about services and provide guidance to ensure a smooth and positive visit.
        Spa Maintenance:
        Maintain the welcoming and well‑organized spa atmosphere by tidying shared spaces, refreshing treatment rooms, restocking supplies and assisting with laundry to ensure a smooth, comfortable experience for guests and staff.
          Provider Support:
          Coordinate with technicians to ensure schedules run smoothly, treatment rooms are properly set up and client needs are communicated clearly.
            Retail Support:
            Maintain product displays, assist clients with retail purchases and support inventory tracking.
              Administrative Tasks:
              Manage phone calls, texts, emails and client inquiries while maintaining accurate records and documentation.
                Policy & Procedure Adherence:
                Uphold spa protocols, privacy standards and safety guidelines to ensure a compliant and professional environment.
                • Client Follow ‑
                Up:
                Support post‑appointment communication, including follow‑up calls, texts, reminders and feedback collection to enhance client satisfaction and retention.
                  Social Media Creation & Support:
                  Assist with creating and posting content by following brand standards, privacy rules, and safety guidelines to ensure all social media activity is compliant, professional, and aligned with the spa's image
                  Qualifications:
                  • 1-3 years of experience in client service, hospitality, spa/medical office coordination or a related field.
                  • Strong communication and interpersonal skills with a warm, professional demeanor.
                  • Highly organized, detail‑oriented and able to multitask in a fast paced environment.
                  • Experience with scheduling systems, point‑of‑sale platforms and administrative tools.
                  • Ability to maintain a polished, clean and welcoming environment.
                  • A passion for aesthetics, wellness and delivering exceptional client care.
