Job Description

Client Coordinator at Trinity Training and Development Client Coordinator at Trinity Training and Development in Austin, Texas Posted in about 4 hours ago.

Type:

full-time Company Overview Trinity is a leadership development company built around Front Line Leadership (FLL), a ten-module program that prepares frontline supervisors, foremen, and team leads to lead people. The program was founded in 2003, the FLL curriculum was built in 2010, and Adam Boyd acquired the business in 2025 and rebranded it from NWG to Trinity. Our clients are blue-collar and industrial organizations, typically 500 or more employees, in manufacturing, construction, energy and oil and gas, distribution, warehousing, logistics, and public works. To date the program has trained more than 15,000 leaders across 350+ organizations and 22+ industries, in 40 U.S. states plus Canada and Latin America. What makes FLL different is that it is built for the floor, the field, and the jobsite rather than the boardroom. Roughly 75% of the experience is activity based, delivered in person or virtually over three or more months so supervisors can practice and apply what they learn between sessions.

We are a small team:

a President, a Head of Operations, a Head of Training, a sales lead, and roughly 13 contract facilitators, supported by design, curriculum, copy, and print partners. Everyone here owns real territory. The Client Coordinator Role Reporting to our Head of Operations, the Client Coordinator owns the day-to-day execution of client engagements and is the person clients, participants, and facilitators come to when they need something. This is a delivery and support role at the center of the business, not an assistant role. It requires someone who can carry a full book of active projects independently, hold a schedule, and answer a client well without being coached through it. This is a dedicated, full-time role. It is not shared across other parts of the business.

Scope note:

this role owns onboarding through close for its assigned engagements, generally our small and mid-sized accounts, while the Head of Operations retains the largest and most complex accounts. The role also serves as the general first point of contact for support questions across all accounts, including those it does not run. Expect roughly half the week to be support and question handling, and the other half to be active project work. Location & Schedule Remote - Based in DFW area. Occasional travel for company meetings. Full-time or 40 hours per week. Standard business hours, with occasional early starts to support in-person cohorts on client sites across U.S. time zones. Our busiest stretch runs from September through February. Compensation Salary range $70,000 to $80,000]. This role grows as the company grows, with a path toward broader operational ownership. Ownership & Outcomes

CLIENT-FACING DUTIES & OUTCOMES
Help Desk & First Response:

Client, participant, and facilitator questions are answered the same day by someone who knows the answer, rather than routed to leadership. This role is the general first point of contact across all accounts, works from a shared support address rather than a personal inbox, and escalates only what genuinely needs a decision. Expect this to be roughly half the job, and heaviest with new clients.

Technical Support & Access Issues:

Participants and client IT teams get help with assessment access, virtual classroom setup, and platform logins without the issue landing on the Head of Operations. This role owns troubleshooting with the client and with our software vendors, and resolves access problems before the module that depends on them.

Client Onboarding & Kickoff:

Every newly signed client in this role's book receives a consistent welcome, a scheduled kickoff with the assigned facilitator present, a confirmed participant list, and a clear list of what we need from them and by when. This role owns the onboarding sequence and the kickoff logistics so the client feels we know their organization before training starts.

Scheduling:

Cohort dates, module sequencing, and delivery mode are set once, confirmed with the client, and coordinated with the Head of Training on facilitator assignment. This role owns the schedule and communicates every change to everyone affected.

Project Timelines:

Every engagement has a live timeline the client can see, built backward from delivery dates and the print production queue. This role builds it, holds it, and flags slippage early.

Communication Plan:

Our client communications are already written and packaged. This role delivers them on schedule, walks the sponsor through them, and makes sure the client feels confident explaining the program internally: what is happening, when, and what is expected of participants.

Materials Coordination:

Participant materials arrive on site, complete and on time, ahead of every module. This role owns ordering through our print partner, works with our design partner to get them the right files and instructions, and tracks counts, ship dates, and delivery.

Assessment Administration:

DiSC assessments are issued, completed, and returned before the modules that depend on them. This role owns issuing, chasing completion, and reporting results to the client and the training team.

Evaluations & Certificates:

Post-module evaluations are collected and summarized, and completion certificates are issued promptly and accurately after the final module. This role owns both.

Check-Ins & Lessons Learned:

Larger clients receive periodic check-in meetings during delivery, and every engagement ends with a documented lessons-learned conversation. This role runs the check-ins for its accounts and brings the Account Manager into the closing conversation so the relationship continues past the last module.

ADMINISTRATIVE DUTIES & OUTCOMES
Facilitator Support:

Facilitators arrive prepared. This role supports three distinct groups: our contract facilitators, client-employed internal facilitators, and certified train-the-trainer facilitators. It owns briefing them on new engagements, confirming schedules and kickoff attendance, getting them materials and system access, and handling stipend and expense paperwork. Facilitators are contractors and are not part of the sales process, so assume they need real context on every new client.

Project Setup & Tracking:

Every signed engagement is set up in Asana from a standard template within [two] business days of signature, with owners, milestones, and due dates in place. This role owns setup and keeps the project an accurate picture of where things stand.

Systems & Records:

Client, contact, and program records stay current across our CRM, project management, and Drive folders, so anyone on the team can answer a client question without asking someone else. This role owns record accuracy and file organization for active engagements.

Invoicing Milestones:

Delivery milestones that trigger invoicing reach accounting on time, with accurate participant counts and any reimbursable travel. This role owns the handoff; accounting owns the invoice.

Order Routing:

Reorders and new requests from existing clients are routed to sales rather than absorbed here. This role recognizes a revenue conversation when it sees one and passes it to the right person.

Documentation & FAQ:

Recurring questions get answered once and written down. This role documents its own workflows, builds and maintains the client and facilitator FAQ, and reduces the volume of repeat questions over time.

Process Improvement & Automation:

Much of this work is manual today. This role is expected to help move onboarding checklists, materials ordering, evaluations, certificates, and standard communications toward automated workflows, and to be the person who checks the output rather than trusting it blindly.

Status Reporting:

Leadership sees a weekly view of upcoming delivery, at-risk items, and open client issues without assembling it themselves. This role maintains that view. Traits We're Seeking Characteristic Problem Solver You fix client problems yourself instead of escalating them. You diagnose the issue and act. Moderate sociability You are able to be the go-to person. You make everyone feel heard, even people meeting Trinity for the first time. But you don't sacrifice getting the work or details done to chat. Fast-paced You move quickly and switch tasks all day without dropping anything. Precise Names, dates, counts, and addresses are correct because you checked them yourself. Strong Communicator You write clear, warm client emails on your own. Nobody has to review them first. Multi-tasker You juggle several engagements at once and know which ones matter today. Finisher You close open loops without being asked. Unfinished work bothers you. Calm under change Schedules shift and plans fall apart. You handle it and keep everyone informed.

Experience Coordination Experience:

Four or more years coordinating training programs, events, consulting engagements, or professional services projects with external clients and multiple contributors. You should be able to onboard quickly and carry your own projects within the first few months.

Client-Facing Communication:

Prior experience as the day-to-day contact for corporate clients, including scheduling, status updates, difficult conversations, and problem resolution.

Systems Fluency:

Comfortable working daily in a project management tool (Asana or similar), a CRM (HubSpot or similar), Google Workspace, and spreadsheets. You should be able to learn a system quickly and keep it clean.

Vendor Coordination:

Experience managing outside vendors to a deadline, ideally print, fulfillment, or production partners. Comfort with

Technology:

Not a technical role, but you should be able to work through a login, access, or virtual classroom problem with a client's IT team and a software vendor without escalating it immediately. Industrial or Corporate Training Exposure (preferred): Experience working with manufacturing, construction, energy, or logistics clients, or inside a corporate learning and development function.
