Aligned Psychology Group is looking for an organized individual to be our Client Coordinator. Aligned Psychology Group is a growing mental health practice specializing in trauma-focused therapy and EMDR. The Client Coordinator will help keep the day-to-day practice running smoothly while creating a welcoming experience for our clients. They will be the primary point of contact for clients, handling communication through phone calls, text, and email, with kindness and responsiveness. This role also includes scheduling, client communications, general office coordination, and administrative tasks related to client care. Client & Scheduling Support Respond to new client inquiries and scheduling requests by phone, text, & email Track therapists' availability and maintain a client waitlist Oversee client intake paperwork and required documentation Provide warm, timely, & professional client communication Insurance & Administrative Support Verify insurance benefits and communicate coverage details to clients Review client files for accurate documentation Complete general administrative tasks, data entry, email correspondence, and phone calls Office Support (When In-Person) Keep the reception and common areas organized, stocked, and welcoming Assist with occasional set up of the group room for meetings or special events Highly organized with attention to detail Ability to multitask and manage ongoing responsibilities efficiently Reliable, consistent, and client-focused Comfortable learning new systems and technologies Able to maintain confidentiality and HIPAA requirements (training will be provided) Proficient with Google Workspace/Microsoft Office, particularly Docs/Word & Sheets/Excel Strong typing and general computer skills Qualifications High school diploma or equivalent required. Previous administrative, medical office, or mental health practice experience preferred but not required Benefits Paid time off Paid sick leave Flexible Schedule, 5 hours a day, 4 to 5 days a week, Monday to Friday between 8 am and 5 pm Health insurance reimbursement (minimum of 25 hours weekly required) Opportunity for increased hours as the practice grows Annual wage increases based on performance and practice needs
