(Hybrid) Reports to: Director, Corporate Partners About the Role The Corporate Partners Administrator provides essential administrative, scheduling, and coordination support to the Corporate Partners team, working closely with and reporting directly to the Director of Corporate Partners. This role is central to keeping the team organized and running smoothly - managing calendars, coordinating meetings and events, maintaining partner records, and ensuring communications and follow-up items are tracked and completed on time. This individual is proactive, detail-oriented, and comfortable juggling multiple priorities in a fast-paced, relationship-driven environment. Success in this role requires strong organizational skills, sound judgment, and the ability to represent the Corporate Partners team professionally with internal colleagues and external partners alike. Responsibilities Scheduling & Administrative Support Manage and maintain the Director of Corporate Partners' calendar, scheduling internal meetings, external partner calls, and travel with attention to shifting priorities. Serve as a primary point of contact for scheduling requests from corporate partners, internal stakeholders, and leadership. Coordinate travel arrangements and logistics for the Director and broader Corporate Partners team as needed. Track action items and deadlines from meetings, proactively following up to ensure timely completion. Process expense reports, invoices, and other administrative paperwork for the Director and team as directed. Meeting & Event Coordination Coordinate logistics for Corporate Partners team meetings, partner briefings, and cross departmental calls - including scheduling, agendas, materials, and room/virtual setup. Support planning and execution of partner-facing events, conferences, and sponsorship activities, including vendor and venue coordination. Prepare meeting materials, presentations, and follow-up summaries in support of the Corporate Partners team's priorities. Assist with onsite logistics and support at Finseca events attended by corporate partners. Corporate Partners Team Support Maintain and update partner records, contact information, and engagement history in the CRM or relevant tracking systems. Support the preparation of partner proposals, renewal materials, and reporting documents. Serve as a liaison between the Corporate Partners team and other internal departments to coordinate shared projects and requests. Maintain shared files, document libraries, and organizational systems to support team efficiency. Provide day-to-day administrative support to other members of the Corporate Partners team as directed by the Director. Competencies & Skills Strong organizational skills with the ability to manage multiple priorities, deadlines, and competing demands simultaneously. Excellent written and verbal communication skills, with the ability to interact professionally with corporate partners and leadership. Proactive, resourceful, and able to anticipate needs and solve problems independently. Strong attention to detail, particularly in scheduling, documentation, and follow-up. Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Experience with Salesforce or similar CRM platforms preferred. Comfortable learning new systems and tools quickly. Qualifications & Experience Minimum of 2-4 years of experience in an administrative, coordinator, or executive-support role. Prior experience as an Executive Assistant is preferred. Prior experience supporting a sales, business development, or partnerships function is preferred. Demonstrated experience managing calendars, coordinating meetings/events, and supporting cross-functional teams. Experience coordinating logistics for conferences, sponsorships, or other partner-facing events is preferred. Hands-on experience with Salesforce or another CRM platform is preferred. Comfortable working directly with external partners, clients, or vendors in a professional capacity. Bachelor's degree preferred; equivalent combination of education and experience considered. Pay range $55,000-$65,000 (depending on skills and relevant experience) Work Environment & Conditions This is a full-time, non-exempt position operating in a professional office environment. Standard office equipment is used routinely. The role requires occasional standing, walking, sitting, and lifting up to 25 pounds. Limited travel is expected for partner events and conferences. Compensation & Benefits Salary is commensurate with experience.
