Southwest Equipment - Tyler, TX Full-Time | Monday-Friday Southwest Equipment is hiring an Administrative Assistant & Heavy Equipment Rentals Coordinator to manage daily office operations, handle equipment rental paperwork, support our billing/QuickBooks processes, and assist with online marketing. This role is primarily administrative and rental-based, with advertising tasks as needed. We are looking for someone dependable, organized, and comfortable working in a fast-paced heavy construction equipment environment. Primary Responsibilities Administrative / Office Duties Answer phones, greet customers, and provide friendly, professional communication Handle work orders, customer paperwork, and office documentation Create invoices, billing, statements, and lease/rental agreements in QuickBooks Process payments and keep customer accounts organized Maintain and update Excel spreadsheets for equipment and rental tracking Assist with scheduling service jobs and coordinating with technicians File, scan, and organize documents Keep the office clean, organized, and presentable every day (trash, counters, common areas) Monitor office supplies / inventory, reorder and/or restock when needed Equipment Rentals Coordination Prepare rental agreements and check-in/check-out paperwork Track rented equipment, return dates, and upcoming availability Communicate with customers about rental terms, pickup, and return instructions Update rental logs, spreadsheets, and internal tracking Coordinate equipment readiness with technicians or drivers Digital Marketing & Online Posting Post equipment listings on Facebook Marketplace, website, and other platforms as needed Take photos/videos and write clear, accurate equipment descriptions Create simple promotional posts for social media or Google Basic SEO or Google Ads knowledge is a plus (not required, but preferred) Help maintain a consistent online presence when requested Requirements QuickBooks experience required (billing, invoicing, agreements) Excel experience required (basic formulas, sorting, tracking) Strong communication and customer service skills Ability to multitask and stay organized in a busy environment Comfortable answering phones and dealing with customers Reliable, self-motivated, and able to work without constant supervision Basic familiarity with Facebook/online posting Valid driver's license
Pay:
