The Role This is a front-line lead management, appointment-setting, and marketing coordination role — not a typical office job. You'll own our inbound leads and turn them into booked appointments, and you'll also be the go-to person helping our marketing consultant track, coordinate, and execute the campaigns and rehash pushes that keep our pipeline full. Some days you're heads-down in the CRM; other days you're getting pulled in three directions at once. Both are the job. This is NOT a typical office manager job. This is a lead management, follow-up, appointment-setting, and marketing coordination role. What You'll Do Lead Management & Appointment Setting Own inbound leads from every source — web inquiries, call-ins, lead-gen partners — no cold calling, ever. Be the first voice of the business: professional, friendly, confident, and quick on the draw.
Run our systems:
our CRM and our Speed-to-Lead Pipeline Manager (automated texting, calling, emailing). Set high-quality appointments for our sales team by building rapport and educating prospects on the value of our services. Rehash old leads and past estimates to bring stalled deals back to life. Keep data clean, organized, and current across every system. Monitor lead flow across both territories so nothing slips through the cracks. Marketing Coordination & Rehash Support Be the point person for our marketing consultant, tracking, coordinating, and helping execute the campaigns, rehash pushes, and follow-up initiatives she has in motion. Keep marketing tasks and deadlines organized so nothing gets dropped between her plans and our team's execution. Help monitor lead and campaign performance, flagging what needs attention and following up on action items. Liaise between ownership, sales, and marketing so everyone's rowing in the same direction. Handle basic office coordination as needed — but your #1 job is lead conversion and keeping the marketing wheels turning. Who You Are A juggler by nature. You can be mid-task, get pulled away by a call from the owner or our marketing consultant, pivot and execute on the spot, then pick up right where you left off — without dropping a beat. Detail-oriented and extremely organized — you thrive when handling a lot of moving parts at once. A self-starter who doesn't need to be babysat. You see what needs to be done and do it. Great on the phone — confident, clear, polite, and able to guide the conversation. Quick to understand customer needs, ask the right qualifying questions, and confidently move the right prospects into scheduled appointments. A fast learner who picks up new software, scripts, and processes quickly. Comfortable with Microsoft Office and navigating a PC and browser-based tools. Cool under pressure — able to juggle multiple leads, tasks, and interruptions without losing track or getting overwhelmed.
