Following successful completion of the onboarding period: Employees are required to work on-site every Monday. Marketing & Communications Coordinator Position Overview The Marketing & Communications Coordinator serves as the operational backbone of the Marketing & Communications Department by coordinating projects, managing workflow, supporting departmental communications, and ensuring marketing initiatives move efficiently from request to completion. This position works closely with the Director of Marketing & Communications to support the day-to-day operations of the department, coordinate internal and external projects, manage administrative responsibilities, and maintain organization across multiple marketing initiatives. The ideal candidate is highly organized, proactive, detail-oriented, and thrives on helping teams stay focused, accountable, and on schedule. Key Responsibilities Coordinate the daily operations of the Marketing & Communications Department. Manage the department's marketing request (ticket) system, ensuring requests are complete, prioritized appropriately, assigned to the correct team member, and tracked through completion. Monitor project timelines and proactively follow up with staff and vendors to ensure deadlines are met. Provide administrative support to the Director of Marketing & Communications, including calendar management, meeting scheduling, travel arrangements (if applicable), and meeting preparation. Coordinate department meetings, prepare agendas, document action items, and follow up on outstanding tasks. Maintain project calendars and marketing schedules to ensure campaigns remain organized and on track. Prepare reports, compile department analytics, and assist with gathering data for leadership, board meetings, grant reports, and strategic planning. Coordinate communication with printers, promotional vendors, sign companies, and other outside vendors to ensure projects are completed accurately and on time. Maintain organized digital files, marketing assets, department records, and project documentation. Assist in developing and improving department systems, workflows, and organizational processes. Serve as a primary communication liaison between the Marketing & Communications Department and other departments within the organization. Support special projects and department initiatives as assigned by the Director of Marketing & Communications.
