Job Description

Part-Time Office Administrator (Medical / Wellness Clinic) Rancho Mirage, CA Position Overview A wellness clinic in Rancho Mirage, CA is seeking a highly organized, detail-oriented, and proactive Office Administrator to support daily operations in a fast-paced medical and wellness clinic. This is not an entry-level role . We are looking for someone who can take ownership of administrative workflows, communicate professionally with patients, and maintain a high standard of organization and accountability.
Schedule:
Monday - Friday | 9:00 AM - 2:00 PM (20 hours/week) What You'll Be Responsible For Front Office & Communication Answer and manage incoming phone calls with professionalism and efficiency Handle email correspondence with patients and internal staff Coordinate communication between providers and locations Maintain organized digital and physical filing systems Scheduling & Patient Coordination Schedule and manage patient appointments accurately Ensure proper follow-up and patient communication Assist with scheduling events and internal calendar coordination Billing & Administrative Support Process payments and maintain accurate records Create invoices and superbills Track and manage patient payment plans Support daily clinic operations and workflow efficiency Marketing & Support Tasks Assist with basic marketing tasks (flyers, social media posts via Canva) Maintain a clean, organized, and professional office environment Order supplies and support clinic operations as needed Required Qualifications (Non-Negotiable) Experience working in a medical, wellness, or clinical office Strong understanding of basic medical terminology Excellent communication and phone skills High level of organization and attention to detail Ability to multitask without losing accuracy Proficiency with: Microsoft Word, Excel Email (Gmail/Outlook) Calendar systems AI Systems Preferred (Strong Advantage) Experience with Thryv, Square, or similar systems Experience handling patient scheduling and billing workflows Familiarity with HIPAA compliance and patient confidentiality Who This Role Is NOT For Individuals without prior office or clinical experience Candidates who struggle with organization or time management Those who require constant supervision or direction Applicants looking for a low-responsibility or passive role Who Will Thrive Here Self-starters who take initiative without being asked Detail-oriented individuals who catch mistakes before they happen Professionals who take pride in creating a polished, organized environment People who enjoy working in a high-performance, patient-focused setting Why Join Our Team Work alongside experienced medical professionals Be part of a growing, high-end wellness clinic Opportunity to grow within a respected healthcare organization Professional, structured, and team-oriented environment How to Apply Submit your resume with a brief message explaining why you are a strong fit for this role .
