POSITION DESCRIPTION
The Membership Specialist supports the external-facing daily membership operations and the administration of ACSM's membership programs, including joining and renewals, group membership, regional chapter registration, reporting, and member and volunteer records through conversations with members via phone and email. The position contributes to membership engagement and retention through accurate customer service, program administration, clear member communications, and efficient processes. The Membership Specialist exercises discretion and independent judgment with respect to matters of significance in carrying out assigned responsibilities and addressing member needs. ACSM. POSITION RESPONSIBILITIES
Provide timely, accurate, and professional customer assistance with membership inquiries across assigned communication channels, including phone, email, voicemail, and chat. Participate in department coverage and established service-level goals, resolve routine issues, and refer matters requiring further review to appropriate staff. Coordinate day-to-day membership operations, including enrollment, renewals, membership fulfillment, and follow-up. Maintain knowledge of ACSM membership categories, benefits, policies, programs, and systems, and identify appropriate opportunities to promote membership and related offerings. Administer the operational components of the group membership program, including customer service, enrollment, invoicing coordination, membership fulfillment, redemption tracking, record maintenance, and the renewal process. Coordinate regional chapter group registration, including collecting and verifying participant information, processing registration transactions, maintaining records, and working with chapter representatives to resolve questions or discrepancies. Maintain accurate member and program records in Altai, ACSM's association management system, and PATH, the learning management system, as applicable. Prepare and review Special Interest Group and Regional Chapter membership reports and lists; coordinate with Technology and appropriate staff to resolve duplicate, incomplete, or inconsistent records. Maintain committee and other volunteer program data, including appointments, terms, service history, and membership status. Prepare reports and support membership compliance tracking and follow-up under the direction of designated staff. May serve as a committee liaison as assigned. Process and verify membership and departmental financial transactions, including dues, registrations, refunds, credits, transfers, invoicing, and payment adjustments. Coordinate with Finance to resolve discrepancies and support monthly batch reconciliation. Coordinate assigned membership projects by maintaining timelines, tracking progress and outstanding tasks, completing follow-up, and communicating results or issues to department leadership. Assume greater ownership of defined projects as proficiency develops. Review membership communications, including standard responses, FAQs, email campaigns, and webpages, for accuracy and clarity; provide feedback based on member needs and recurring questions. Document assigned workflows and maintain procedures, checklists, and standard responses to improve accuracy, consistency, efficiency, and staff coverage. Share knowledge with colleagues to support absences and peak periods. Identify trends, recurring issues, and process gaps in membership operations and recommend improvements to department leadership. Perform other membership department duties and special projects as assigned.
MINIMUM KNOWLEDGE AND SKILL REQUIREMENTS
Knowledge:
Knowledge of membership administration fundamentals and the ability to develop a working knowledge of ACSM operations, programs, and policies. Understanding of professional member communications, confidentiality, and established data management practices. Skills Strong organization, time management, and attention to detail; ability to coordinate defined projects, manage deadlines, track outstanding tasks, and communicate progress. Ability to maintain accurate database records and use spreadsheets to organize, review, reconcile, and summarize information. Clear written and verbal communication skills and the ability to explain membership information accurately and professionally. Ability to use association management systems and productivity tools such as Teams, Office 365, SharePoint, and Zoom to support membership operations and collaboration. Sound judgment and the ability to make decisions regarding matters of significance, resolve routine issues, and recognize when additional guidance is needed. Initiative and willingness to learn new systems and processes, adapt to changing priorities, and ask questions when needed. Ability to handle confidential member and volunteer information with care and follow established data management practices. Ability to collaborate across departments and adapt to coverage needs for events, virtual or in-person meetings, and projects.
EXPERIENCE AND EDUCATION
Associate or bachelor's degree or equivalent work experience required. One to three years customer service experience supporting members in an association or related work experience required. Membership association experience preferred.

Attends ACSM meetings as required. Maintains current license, certification, or registration as applicable. Follows dress code policy. Adheres to Attendance/Scheduling policies. Understands and adheres to the ACSM Mission.
LICENSES/CERTIFICATIONS
N/A This position is in the Indianapolis metro area. The person will be required to come to the office a minimum of once per week. Paid relocation is not offered for this position. The pay range for this position is $52,000-$65,000 with only those exceeding the qualifications eligible for the top range.
