Job Description The Membership Associate role at the Portland Art Museum will support efforts to grow, retain, and upgrade museum membership. Responsibilities include processing gifts and membership transactions, providing excellent customer service to members and prospective members, and handling a range of administrative tasks that support the Museum's general membership program. In this role, you will Receive, log, and process all membership income, including memberships generated through mail, online, onsite, and phones Utilize the Altru CRM system to batch process memberships, including monthly installments and recurring gift payments Provide efficient, prompt, and courteous customer service by responding to a high volume of phone and email inquiries about membership accounts, transactions, and ticketing Promote membership acquisition, upgrades, and renewals by clearly communicating membership levels, pricing, benefits, and programs to prospective and current members. Assist members with website navigation, ticketing questions, and online account access or technical issues Accurately document all member interactions in Altru accounts for historical tracking and communication purposes Execute the digital benefit fulfillment process, including extracting Altru data for integration with the digital cards and benefits platform, Cuseum. Troubleshoot issues in collaboration with Cuseum Support and assist members in downloading their digital cards and benefits Monitor digital receipt process and troubleshoot issues in collaboration with the Membership Supervisor Provide onsite customer service support at membership events, including guest check-in, wayfinding, and registration Stay informed about the Museum's calendar of events, exhibitions, programs, and ticketing policies to ensure accurate communications with members Maintain accurate constituent records in the database by updating information, resolving duplicate entries, and ensuring data integrity and confidentiality at all times Collaborate with the Visitor Services team to troubleshoot and resolve membership-related issues, ensuring members receive timely onsite assistance when needed Support the Membership Department with administrative tasks and special projects as assigned Performs other related duties as assigned To be successful in this role, you have these requirements Minimum 1 to 2 years previous experience in a related field Gift management and revenue reconciliation experience Experience using CRM/database software, Microsoft Excel, and Google Suite products Knowledge of general fundraising and membership best practices Demonstrates excellent accuracy and meticulous attention to detail. Ability to work collaboratively as part of a team Strong commitment to customer service, with the ability to build positive relationships and work effectively with members, staff, donors, volunteers, and the general public. Capable of managing multiple tasks in a fast-paced environment while meeting deadlines Discretion in handling confidential information Experience managing a high volume of customer service phone calls Skilled in handling challenging customer service issues and resolving them effectively with tact and diplomacy If you have any questions along the way including wanting to talk about a nontraditional career background, please reach out to HR. Schedule/Hours:
Monday through Friday, 9am - 5pm (35 hours per week) This role is 100% onsite without a remote working option Occasional weekend and evening hours Occasional overtime Extensive computer and phone work Frequently sitting or standing at a stationary desk/workstation (stand up workstation provided) Repetitive use of hands, fingers, and wrists Continuously communicates with team members and visitors Occasional walking and use of stairs Occasionally lift/push/pull up to 25lbs This list highlights key physical and environmental conditions related to the role but is not an exhaustive representation of all job requirements. Benefits This role is non-exempt/hourly and full-time The budgeted compensation falls within pay grade E ($20.93 minimum - $23.95 midpoint - $26.96 maximum), based on experience Shift differentials (for hourly/non-exempt staff working onsite): Evening hours (6:00 pm-12:00 am) will be paid an additional $1.00 per hour Night hours (12:01 am-6:00 am) will be paid an additional $2.00 per hour Medical, dental, and vision insurance Retirement plan with employer match Generous paid time off and holidays Employee perks and discounts Application Process for Membership Associate Ready to join our team?
