With over 400 pieces of equipment in inventory across three states , we are expanding quickly and looking for an organized, motivated Administrative Assistant to become a key member of our team. Responsibilities Answer incoming phone calls and direct customers to the appropriate department. Provide exceptional customer service to customers, vendors, and transportation partners. Coordinate equipment shipments with freight carriers and transportation companies. Schedule pickups and deliveries while tracking shipment status. Prepare and send customer invoices and supporting documentation. Contact vendors for pricing, scheduling, and logistics updates. Follow up with customers regarding orders, deliveries, and paperwork. Assist the sales and operations teams with daily administrative tasks. Maintain customer records and update company systems. Organize shipping paperwork, contracts, invoices, and office documents. Monitor emails and respond promptly to customer and vendor inquiries. Assist with inventory and equipment documentation. Perform general office duties and other administrative tasks as assigned. Qualifications Previous administrative assistant, office administration, customer service, or receptionist experience preferred. Excellent verbal and written communication skills. Strong organizational and time management abilities. Ability to multitask in a fast-paced environment. Comfortable communicating with customers, vendors, and freight companies by phone and email. Detail-oriented with excellent problem-solving skills. Proficient in Microsoft Outlook, Excel, and Word. Positive attitude, dependable, and self-motivated.
