Position Overview Under the direction of the Site Manager, the Site Administrator provides administrative, clerical, and safety support for onsite operations. This role coordinates office activities, maintains maintenance and inventory records, supports safety initiatives, and serves as a key point of contact for employees, customers, and vendors while ensuring efficient day-to-day site operations. Essential Functions Coordinate administrative activities, including scheduling meetings, preparing correspondence and reports, managing timecards, maintaining records, ordering office supplies, and supporting daily office operations. Support site safety programs by assisting with risk assessments, safety audits, accident reporting, emergency action plans, safety training, and compliance with company safety policies and procedures. Maintain maintenance documentation, including work orders, preventive maintenance records, labor tracking, invoices, equipment repair coordination, and computerized maintenance management systems (CMMS). Manage inventory and materials by issuing parts, tracking stock movement, maintaining inventory levels, and supporting materials management for site operations. Serve as a professional point of contact for employees, customers, vendors, and visitors while responding to requests, maintaining confidential information, and fostering positive working relationships. Prioritize multiple responsibilities with minimal supervision while supporting continuous improvement initiatives and performing additional duties as assigned. Qualifications One (1) year or more of administrative, clerical, or office support experience. Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Access. Strong organizational, communication, and time management skills with the ability to prioritize multiple tasks independently. Ability to maintain confidentiality and work collaboratively with employees, customers, and vendors. Flexibility to work occasional early mornings, evenings, weekends, or holidays as business needs require.
