Full Job Description Warranty Administrator Duties Process Claims:
Accurately prepare, record, and submit all warranty claims to the factory and/or distributors in a timely manner.
Verify Coverage:
Review all repair orders, documentation, and vehicle service history to ensure claims meet manufacturer eligibility requirements and to avoid duplicate claims.
Resolve Rejections:
Promptly investigate and resubmit any rejected or unpaid claims, or obtain authorization to write them off.
Track Claims:
Monitor the status of all outstanding claims and follow up with manufacturers to ensure timely payment
Reconcile Accounts:
Assist Accounting to Reconcile all warranty receivables and payment schedules through the appropriate accounting ledgers, posting credits as received.
Monitor Trend Dashboard:
Track warranty expenses, open to close date, close to submit dates, first time through percentage, potential repeat repairs, and maintain a DAS score above 61.
Support Audits:
Maintain accurate records for all claims for auditing purposes and support Ford audits as needed.
Manage Parts:
Coordinate with the parts department to track and tag all warranty parts with the repair order number and date of replacement.
Arrange Shipments:
Arrange with the parts department for defective warranty parts to be shipped back to the factory or distributor, or properly disposed of.
Maintain Records:
File and maintain all service records, paperwork, and documentation as required by the manufacturer and legal requirements.
Stay Informed:
Keep informed of all factory recalls, bulletins, and changes to warranty policies and procedures, disseminating information to service staff and technicians as needed. Liaise with
Stakeholders:
Serve as a point of contact and maintain positive relationships with customers, service advisors, technicians, and manufacturer representatives.
Assist Other Departments:
Provide general administrative assistance to the service or parts operations manager as directed.
Manage Pre-Authorizations:
Maintain a detailed record of all Ford parts and repairs requiring pre-authorization (such as specific powertrain components beyond the basic warranty) and secure the necessary approvals from the manufacturer/warranty co before work commences.
Verify Part Numbers & Coverage:
Utilize internal systems (e.g., Ford's "Oasis" system) to run all part numbers, confirm warranty eligibility and coverage details for technicians, and prevent the use of non-warrantied or inappropriate parts for a claim.
Document Repair Orders:
Generate and print warranty coverage sheets or verification documentation to be physically attached to the corresponding repair orders, ensuring a clear paper trail for all claims and future manufacturer audits.
Disseminate Updates:
Proactively communicate Ford factory recalls, special service messages, and any changes in warranty policies to the service team and technicians to ensure compliance and avoid claim rejections.
