MAJOR DUTIES
As a proactive member of the NCC Aftermarket Team, the Senior Spare Parts Coordinator is responsible for supporting all spare parts activities across NCC's customer base and business units. This role acts as a key liaison between customers, internal teams, and vendors to ensure timely, accurate, and efficient spare parts quoting, order processing, and fulfillment.
This position plays a critical role as the "Voice of the Customer," ensuring responsiveness, accuracy, and strong relationship management while supporting revenue growth and operational performance.
SPECIFIC RESPONSIBILITIES
Customer Service & Order Management (30%) Serve as the primary point of contact for customers regarding spare parts inquiries and requests
Respond to customer requests for quotations in a timely and accurate manner
Process spare parts orders and ensure proper order entry and documentation
Coordinate with Supply Chain and internal teams to ensure on-time delivery Quoting & Sales Support (20%) Develop recommended spare parts quotations in collaboration with project teams and vendors
Proactively follow up on quotations and spare parts lists to drive conversion and revenue growth
Support top-line sales growth through effective customer engagement and responsiveness Operations & Coordination (20%) Provide spare parts lists to Project Execution teams as required
Research part information using vendor communication, historical data, and internal systems
Collaborate with NCC Service Team on spare parts opportunities identified during site visits Reporting & Performance Management (15%) Monitor and report on departmental KPIs including On-Time Delivery (OTD), bookings, and revenue
Utilize Daily Visual Management tools to track performance metrics
Escalate issues and initiate problem-solving activities when KPIs fall below targets
Support monthly forecasting of spare parts revenue Leadership & Continuous Improvement (15%) Provide guidance, onboarding, and training to Spare Parts Coordinators
Support delegation of tasks and development of team capabilities
Identify and implement continuous improvement initiatives aligned with NCC's value drivers

Education:
Bachelor's degree in Business, Supply Chain, Engineering, or related field preferred
Equivalent combination of education and experience will be considered
Experience:
Minimum of 5+ years of experience in spare parts coordination, customer service, or order management
Experience in manufacturing, automation, or industrial environment preferred
Strong understanding of supply chain, order processing, and customer support functions
Experience with ERP systems and spare parts management processes
Demonstrated ability to manage customer relationships and support revenue growth
Experience leading or mentoring team members preferred
Key Accountabilities:
Execution of all spare parts activities including quoting, order entry, and fulfillment
Profitability of spare parts sales, including pricing and margin management
Achievement of KPI targets such as On-Time Delivery, bookings, and revenue
Development and oversight of Spare Parts Coordinator(s)
Continuous improvement of processes supporting customer satisfaction and operational efficiency
