Monday-Friday, 8:00 AM-4:00 PM Job Summary Worthley's Home Appliance is a family-owned and operated business with a busy, fast‑paced service department. We are seeking a dependable, organized, and customer‑focused Service & Parts Coordinator to join our team long‑term. This role manages incoming service requests, technician scheduling, parts coordination, inventory management, and customer communication to ensure smooth daily operations and excellent service outcomes. Responsibilities Customer & Service Call Management Receive incoming service and repair calls in a professional, courteous manner. Schedule service appointments and assign jobs based on technician skill set and job location. Create daily service routes for technicians. Return customer calls and respond promptly to concerns or questions. Act as the liaison between customers and technicians throughout the service process. Elevate callbacks or service issues immediately to ensure timely resolution. Ensure customer invoices are accurate, complete, and paid prior to job closeout. Contact customers regarding unpaid balances and assist with invoice questions. Sell parts to walk‑in and phone customers. Technician Coordination Maintain ongoing communication with technicians throughout the day and resolve issues as they arise. Collaborate with technicians to ensure they have the correct tools and parts to complete jobs in one visit. Ensure technician notes are detailed and accurate for invoicing and warranty claim submission. Oversee completion of shop work in a timely manner. Parts Coordination & Inventory Management Receive incoming parts shipments and verify accuracy against purchase orders. Inspect parts for damage or defects and document any discrepancies. Enter received parts into inventory software and maintain accurate stock levels. Organize and label parts in designated storage areas for efficient technician access. Monitor inventory levels and communicate low‑stock needs to the parts department or management. Stage parts for technician pickup and ensure correct parts are prepared for scheduled jobs. Track parts used on service calls and update records to maintain accurate job costing. Assist with regular inventory counts and reconciliation. Coordinate with the parts department to assist technicians in obtaining needed parts and monitor parts on order for open jobs. Warranty Claim Management Prepare and submit warranty claims with complete and accurate documentation. Verify technician notes, parts used, and diagnostic details to ensure claim eligibility. Track all submitted claims and follow up with manufacturers until payment is received. Resolve rejected or delayed claims by providing additional documentation or clarification. Maintain organized records of all warranty claims, payments, and outstanding balances. Cross‑Department Collaboration Support sales staff with service-related questions or issues as needed. Qualifications Minimum 2 years of experience as a department coordinator, dispatcher, parts/service coordinator, appliance technician, or similar role with direct customer interaction. Mechanical or technical aptitude preferred. Strong organizational skills with excellent attention to detail. Clear, professional verbal and written communication skills. Proficiency with Microsoft Office and software tools used for scheduling, inventory, and record management. Background in field service or appliance repair is preferred but not required. Additional Requirements Worthley's is a non‑smoking business; smoking is not permitted on the property or in company vehicles. All employees must pass a drug screen and background check.
Benefits Paid vacation:
1 week per year of service, up to 5 weeks.
