Job Description

The role Statewide Equipment sells, rents, and services heavy equipment across Southern Utah. We carry LiuGong, Kioti, and Deutz-Fahr, and our customers are contractors, ranchers, municipalities, and pit operators who lose money every hour a machine is down. The Parts and Service Coordinator is the hub between the customer, the parts room, and the shop. You answer the phone, find the right part, get it ordered and received, open the work order, keep the customer informed, and make sure the job gets closed and invoiced the day it's done. When this seat runs well, machines get back to work faster and the dealership gets paid for everything it did. When it doesn't, parts walk out the door uncharged and finished jobs sit un-invoiced. This is not a receptionist job. It is a fast, detail-heavy role for someone who likes being the person who knows where everything stands. What you'll own Parts counter — Look up parts by model and serial number in OEM catalogs, quote and sell to walk-in and phone customers, and handle special orders. Get the right part the first time. Ordering and receiving — Place stock and special-order parts through the dealer management system, receive shipments against the purchase order, and finalize vendor invoices promptly. Every receiving gets matched to an invoice — nothing sits open. Parts on the work order — Every part that leaves the parts room gets charged to a work order or a sale. No exceptions, no "I'll add it later." This is the single most important habit in the role. Service intake and scheduling — Take service requests, write up the customer's concern accurately, open the work order, and schedule the job with the service lead based on shop capacity and parts availability. Customer communication — Keep customers updated on parts ETAs, job status, and estimates. Get authorization before additional work is done. The customer should never have to call us to find out where their machine is. Work order close-out — Once the job is complete, make sure labor, parts, and notes are on the work order and it gets closed and invoiced the same day. Chase down anything holding a close-out up. Warranty documentation — Gather the serial numbers, failure details, photos, and technician notes needed to file warranty claims correctly. A claim without documentation is a claim we eat. Inventory accuracy — Support stock counts and spot-checks, flag slow-moving or missing inventory, and keep bins and the parts room organized. What we expect If a part left the building, it's on a work order or an invoice. Finished jobs are invoiced the day they're finished. Customers hear from you before they have to call. You know what's on order, what's arrived, and what's holding up every open job. Bad news travels fast. A late part or a job going sideways is something the customer and the shop hear from you first. What you need Required 1+ year in parts counter, service writing, or service coordination — equipment, ag, truck, automotive, or powersports dealership Strong computer, phone and customer service skills Comfort working in a dealer management system or similar inventory/ordering software Strong attention to detail with part numbers, quantities, and paperwork Clear, professional communication by phone, email, and in person Ability to manage many open jobs and orders at once without dropping any Preferred Heavy equipment, construction, or agricultural dealership experience Experience with OEM parts catalogs and warranty claim processing Familiarity with Blackpurl or another dealership management system Mechanical aptitude — enough to understand what the technician and the customer are describing Essential functions Regular on-site presence at the Parowan location. Standing and working at a parts counter. Lifting and moving parts up to 50 lbs. Communicating with customers, vendors, and technicians by phone, email, and in person. Working on a computer to look up parts, place orders, and manage work orders. Schedule Monday-Friday, full-time, on site in Parowan, Utah. Occasional extended hours during busy season.
Pay:
$23.50 - $28.00 per hour
