Job Description

RE/MAX Marketplace is looking for a Transaction Coordinator to join our team. We are a boutique real estate office with approximately 35 agents, located in the heart of downtown Cotati. We have a friendly, collaborative environment and are looking for someone who is organized, dependable, detail-oriented, tech-savvy, and enjoys being part of a team. Previous real estate transaction coordination experience is a plus, but not required. We are open to training the right person who has strong administrative and organizational skills, learns quickly, and is comfortable managing multiple priorities and deadlines. Responsibilities
  • Coordinate real estate transaction files from contract to close
  • Manage important dates, deadlines, contingencies, and documentation
  • Prepare and organize transaction documents
  • Review files for required documents and signatures
  • Maintain complete and compliant transaction files
  • Keep a watchful eye on transaction files for potential issues, missing documentation, approaching deadlines, or compliance concerns, and promptly communicate them to the Broker
  • Coordinate with agents, escrow, title, lenders, and other transaction professionals as needed
  • Track outstanding documents and follow up with agents
  • Assist agents with transaction-related paperwork and questions
  • Maintain transaction files in SkySlope and other brokerage systems
  • Help ensure files stay organized and on track through closing What We're Looking For

  • Strong written and verbal communication skills
  • Comfortable with technology and able to learn new software quickly
  • Ability to manage multiple files, tasks, and deadlines simultaneously
  • Professional, dependable, proactive, and reliable
  • Good judgment and the ability to recognize when something needs the Broker's attention
  • Able to work independently while also being part of a team
  • Strong problem-solving skills and willingness to learn
  • Real estate, escrow, title, mortgage, legal, or administrative experience is a plus
  • Experience with C.
A.R. forms, SkySlope, and Glide is a plus, but not required This is a great opportunity for someone who loves organization, pays close attention to details, and enjoys supporting a busy team. We are happy to train the right candidate. Please note that this is a full-time, in-person position. Our regular hours are Monday through Friday, 8:30 AM to 5:00 PM.
