Executive Real Estate Assistant - Operations & Lead Generation Are you the person who naturally creates order, follows through, and makes sure nothing falls through the cracks? We are looking for a highly organized, driven Executive Real Estate Assistant to become a key part of a growing real estate business. This is not a receptionist position and it is not a role where you simply wait for tasks to be assigned. We are looking for someone who takes ownership, builds systems, follows up consistently, and helps keep the business moving forward. The ideal candidate may come from a paralegal, legal assistant, real estate, title, closing, transaction coordination, or executive administrative background. Paralegal or legal experience is strongly preferred because attention to detail, documentation, deadlines, confidentiality, and professional communication are extremely important in this position. Your Mission Your job is to help create an organized, efficient real estate business where: Leads receive consistent follow-up. Clients receive excellent communication. Important deadlines are never missed. Files and documents remain organized. Administrative tasks are handled accurately. The agent can spend more time on appointments, clients, negotiations, and income-producing activities. Opportunities don't disappear because someone forgot to follow up. You will become the person helping turn leads, conversations, paperwork, deadlines, and follow-ups into an organized system. What You'll Own Lead Generation & Client Follow-Up A significant part of this position involves helping generate and nurture new business.
You will:
Follow up with prospective buyers and sellers. Make outbound calls to prospective clients. Nurture leads who aren't ready to buy or sell yet. Maintain consistent follow-up within the CRM. Reach out to past clients and contacts. Assist with prospecting campaigns. Help manage incoming leads. Schedule qualified appointments. Track lead sources and follow-up activity. Help ensure every viable lead has a clear next step. You must be comfortable picking up the phone. This is not a high-pressure telemarketing position, but proactive client outreach is an important part of the job. Database & CRM Management The database is one of the most valuable assets in the business.
You will help:
Maintain accurate client records. Add and categorize new leads. Track conversations and follow-up dates. Maintain organized lead pipelines. Identify contacts who need follow-up. Keep notes current. Prevent leads from becoming forgotten or neglected. Executive & Administrative Support You will help manage the administrative side of the business, including: Calendar and appointment coordination Email and correspondence Document preparation File organization Client records Deadline tracking Vendor coordination Property research HOA and condominium research Public-record research Preparing letters and mail campaigns Maintaining office systems Creating and improving administrative processes Real Estate & Transaction Support Depending on experience, responsibilities may also include: Organizing transaction documents Tracking contract deadlines Coordinating with title companies and attorneys Communicating with clients throughout transactions Assisting with listing preparation Coordinating inspections, appraisals, vendors, and appointments Maintaining complete transaction files Helping ensure required documents are collected and organized Who We're Looking For You may be an excellent fit if people describe you as: Organized.
