Experienced About the Position We are seeking a highly organized, detail-oriented, and professional Real Estate Administrative Assistant to support our real estate operations and ensure day-to-day administrative activities run smoothly. The ideal candidate has prior administrative experience in the real estate industry and understands the pace, confidentiality, deadlines, and attention to detail required in a real estate environment. This is an excellent opportunity for someone who takes initiative, is exceptionally organized, communicates well, and can confidently manage multiple priorities. Real estate industry experience is required. Key Responsibilities Provide administrative support to the real estate team and assist with daily office operations Manage calendars, appointments, meetings, and scheduling Coordinate communications with clients, agents, vendors, and other real estate professionals Prepare, organize, and maintain documents, files, records, and correspondence Assist with transaction-related administrative tasks and follow up on important deadlines Maintain accurate and organized digital and physical filing systems Monitor deadlines, appointments, and action items to ensure tasks are completed on time Handle confidential client and business information with discretion and professionalism Manage multiple priorities while maintaining a high level of accuracy Respond to emails, phone calls, and administrative requests in a timely and professional manner Provide general administrative and organizational support as needed
Qualifications & Skills Required:
Prior administrative experience in the real estate industry — real estate experience is required Strong organizational and time-management skills Excellent written and verbal communication skills Strong scheduling and administrative abilities Ability to effectively manage multiple priorities and deadlines Ability to handle confidential information professionally and discreetly Exceptional attention to detail Must be extremely organized Ability to work independently, take initiative, and follow through on tasks Professional demeanor and strong interpersonal skills Proficiency with standard office technology, email, calendars, and document management systems The Ideal Candidate You are someone who naturally keeps things organized, stays ahead of deadlines, and can manage a busy workload without losing attention to detail. You understand the unique administrative demands of the real estate industry and are comfortable working with sensitive information, time-sensitive tasks, and multiple competing priorities.
