Schedule:
Approximately 20 hours weekly during our Monday-Friday, 9 a.m.-5 p.m. office hours. Consistent schedule arranged around availability. Learn the business while helping move real projects forward. We are a boutique real estate firm involved in investing, development, property management, and hospitality. We're looking for an organized, resourceful executive assistant intern to work directly with the principal and support our properties and projects. You'll gain practical experience with acquisitions, development research, leasing, hospitality operations, and the daily work of running a real estate business. We can train the right person in our processes. You should already bring strong writing, solid computer skills, good judgment, and dependable follow-through. What you'll help with Executive support: Organize calendars, schedule meetings, prepare agendas, take useful notes, and track deadlines and follow-ups.
Communication:
Answer calls, draft professional emails and letters for review, and follow up with tenants, guests, vendors, brokers, lenders, and other business contacts.
Leasing and marketing support:
Update approved rental listings, organize property photos, track inquiries, schedule showings, and follow up on missing application documents.
Property and hospitality operations:
Help coordinate maintenance appointments, cleaning schedules, property access, and turnover checklists. Track requests through completion and flag issues requiring management's attention.
Real estate research:
Gather comparable rents and sales, property records, zoning information, and acquisition or development materials. Summarize findings clearly and identify your sources.
Transaction and document coordination:
Maintain acquisition, financing, lease, and closing files; request missing documents; coordinate with attorneys and title companies; and track signatures through DocuSign. Use approved forms and templates under supervision.
Administrative and bookkeeping support:
Organize invoices, receipts, vendor information, spreadsheets, and digital files for management and the bookkeeper.
Project tracking:
Keep task lists current, identify overdue items, and prepare a brief update showing what is completed, what is pending, and what needs a decision.
Local assignments:
Assist with scheduled property visits, photos, document pickups, and other business errands in Hollywood and occasionally Miami. Assignments will be prioritized with the principal to fit your scheduled hours, with training and feedback as you learn. What we're looking for Bilingual English and Spanish. Excellent written and spoken English, including the ability to write a clear, professional email. Strong organization, attention to detail, punctuality, and consistent attendance. Comfortable speaking with people by phone and in person. Ability to follow instructions, ask useful questions, solve routine problems, and complete tasks without repeated reminders. Working knowledge of Microsoft Outlook, Excel, and Word; familiarity with Google Workspace is helpful. Comfortable learning DocuSign, shared task systems, and other business software. Familiarity with ChatGPT or similar AI tools for drafting and research, with the judgment to verify information and protect confidential records. Professional presentation, discretion, and a friendly customer-service mindset. Reliable vehicle, valid driver's license, and a safe driving record. Authorization to work in the United States. Office, customer service, real estate, or hospitality experience is a plus. QuickBooks, Canva, spreadsheet, and social media skills are also welcome.
