Position Summary The Closing Agent is responsible for coordinating and managing the administrative aspects of new, used, and brokerage yacht sales transactions from executed purchase agreement through final delivery. This position serves as a key liaison between customers, the sales team, lenders, insurance companies, documentation services, manufacturers, and state agencies to ensure transactions are completed accurately, efficiently, and professionally. The ideal candidate is highly organized, detail-oriented, and customer-focused, with the ability to manage multiple transactions and deadlines simultaneously. This position requires accuracy, discretion, strong communication skills, and the ability to provide a seamless closing experience consistent with the high level of service expected by Valhalla Yacht Sales and Viking Yacht Company. Essential Duties and Responsibilities Sales Transaction & Closing Coordination Coordinate all administrative aspects of new, used, and brokerage yacht sales transactions from signed purchase agreement through closing and vessel delivery. Review sales documentation to ensure required information, signatures, and supporting documents are complete and accurate. Prepare, review, and process purchase agreements, closing documents, registration paperwork, financing documentation, and other transaction-related records. Track closing requirements and deadlines to ensure transactions progress efficiently and close as scheduled. Maintain communication with the sales team and management regarding transaction status, outstanding documentation, and potential delays. Coordinate final documentation and administrative requirements prior to vessel delivery. Customer Support Work directly with customers to obtain required documentation, signatures, identification, insurance information, and other materials necessary to complete the transaction. Provide customers with clear and professional communication regarding documentation requirements and the closing process. Respond to customer questions and assist in resolving documentation or administrative issues throughout the transaction. Maintain a professional, customer-first approach while handling confidential financial and personal information. Lender, Insurance & Agency Coordination Coordinate with lenders, insurance companies, documentation services, manufacturers, and applicable state agencies to facilitate timely closings. Submit and track vessel registration, title, and documentation requirements as applicable. Coordinate financing documentation and lender requirements to ensure funding is received prior to delivery. Communicate with external parties to resolve missing or incomplete documentation and prevent unnecessary closing delays. Warranty & Manufacturer Documentation Submit vessel registration and applicable boat and engine manufacturer warranty documentation. Process required paperwork for factory rebates, warranty promotions, and other manufacturer programs. Maintain accurate records of submitted warranty registrations, rebates, and related documentation. Follow up with manufacturers or internal departments regarding outstanding documentation when necessary. Financial & Administrative Responsibilities Track deposits, final payments, lender funding, manufacturer invoices, and other transaction-related financial documentation. Verify required funds and documentation have been received prior to closing and vessel delivery. Maintain accurate and current transaction records within the dealership CRM and Lightspeed systems. Organize and maintain electronic and physical sales files in accordance with company procedures. Assist the sales team and management with administrative support as needed. Maintain confidentiality of customer, financial, and company information. Perform additional duties and special projects as assigned. Qualifications High school diploma or equivalent required; Associate degree in Business, Finance, Accounting, or a related field preferred. Previous experience in marine, automotive, recreational vehicle, real estate, banking/finance, title, closing, or another transaction-based environment preferred. Previous experience coordinating sales transactions, financing, registrations, titles, or closing documentation is a plus. Proficiency with Microsoft Office applications, including Word, Excel, and Outlook. Experience with CRM, dealership management, or Lightspeed systems preferred. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple transactions, priorities, and deadlines simultaneously. Ability to work independently while collaborating effectively with sales personnel, management, customers, and outside organizations. Core Competencies Exceptional attention to detail and accuracy. Ability to communicate effectively by telephone, email, video conference, and in person. Work Environment Work is primarily performed in a professional yacht sales and showroom environment with frequent interaction with customers, sales personnel, lenders, manufacturers, insurance providers, and other business partners. The position requires regular computer and telephone use and the ability to manage multiple transactions in a deadline-driven environment.
Work Schedule Standard Schedule:
Monday - Friday, 9:00 am - 5:30pm
Overtime:
