Job Description

We are seeking a motivated, organized, and dependable Administrative Assistant to provide company-wide support to management and staff across multiple office locations. This position is ideal for someone who enjoys a fast-paced environment, can handle multiple responsibilities at once, and takes pride in keeping things organized and moving forward. The right candidate will be professional, personable, detail-oriented, comfortable working with clients and agents, and willing to jump in wherever assistance is needed. Previous real estate experience is highly preferred. Candidates with experience working in a real estate brokerage, title company, property management office, or similar real estate environment will receive priority consideration. What We Are Looking For We are looking for someone who is: Organized and highly detail-oriented Energetic, dependable, and professional Comfortable working in a client-facing office environment Confident communicating by phone, email, and in person Able to multitask and prioritize changing responsibilities Comfortable using computers and learning new software A quick learner who can follow established procedures Able to work independently while also being part of a team Proactive and willing to identify ways to improve office processes Strong with follow-up and completing tasks from start to finish Willing to assist management and staff across different departments and locations as needed Responsibilities Responsibilities may include, but are not limited to: Greet clients, agents, vendors, and visitors entering the office with enthusiasm, professionalism, and a welcoming attitude Provide administrative and executive support to management and real estate professionals Assist management with company-wide projects, assignments, and day-to-day operational needs Answer incoming telephone calls, take accurate messages, and direct calls appropriately Manage calendars, appointments, meetings, and scheduling Prepare, organize, scan, file, and maintain documents and records Perform data entry and maintain accurate information within company systems Assist with real estate-related administrative tasks and transaction support Help coordinate office events, meetings, training sessions, and company functions Maintain organized electronic and physical filing systems Assist with basic bookkeeping, invoices, records, and other administrative financial tasks as needed Communicate and follow up with agents, clients, vendors, and other parties Assist management with projects involving multiple office locations Learn and utilize company software, systems, and procedures Help identify opportunities to streamline workflows and improve office efficiency Collaborate with management and team members to ensure daily office operations run smoothly Handle additional administrative duties and special projects as assigned Qualifications Administrative or office experience preferred Real estate experience is highly preferred and will receive priority consideration Experience working within a real estate brokerage is a strong plus Strong written and verbal communication skills Professional phone etiquette Excellent organizational and follow-up skills Strong attention to detail Comfortable working with Microsoft Office, Google Workspace, email, and general office technology Ability to learn new software and systems quickly Ability to manage multiple priorities in a fast-paced environment Strong problem-solving skills and initiative Professional appearance and demeanor when interacting with clients and the public Position Summary As an Administrative Assistant, you will play an important role in supporting management and helping keep our offices operating efficiently. This is not a position limited to one specific administrative function. The individual selected will assist with a variety of responsibilities across the company and should be comfortable adapting to changing priorities. We are looking for someone who wants to learn, take initiative, become an important part of the organization, and help improve the way things are done. Candidates with previous real estate industry experience are strongly encouraged to apply, as familiarity with the pace, terminology, documentation, and day-to-day operations of a real estate office will be highly valued.
Pay:
$18.00 - $24.00 per hour
