Job Description
Position Overview We are seeking a dependable, highly organized Administrative Assistant to support the daily operations of a New York City real estate office. Our portfolio includes commercial and residential properties in New York City and North Bergen, New Jersey. This position will provide administrative support with tenant communication, vendor coordination, property records, invoices, lease documentation, maintenance requests, and general office operations. The successful candidate will be professional, detail-oriented, resourceful, and comfortable managing multiple assignments. This is a hands-on role for a proactive individual who takes ownership of tasks and consistently follows through to completion. Responsibilities Provide daily administrative and organizational support Serve as a primary point of contact for tenants, vendors, and service providers Coordinate property showings Assist with lease administration and lease tracking Maintain tenant contact information and lease databases Prepare leasing and property-related documents Coordinate move-ins and move-outs Coordinate maintenance requests and follow up to completion Track certificates of insurance and vendor documentation Maintain property records and digital filing systems Assist with compliance-related documentation Schedule property access, inspections, service appointments, and contractor visits Coordinate with attorneys, accountants, brokers, contractors, lenders, and other professionals Perform other administrative and property-related duties as needed Qualifications At least three years of administrative, office, or related professional experience Strong organizational and time-management skills Excellent attention to detail and follow-through Professional written and verbal communication skills Proficiency with Microsoft Outlook, Word, and Excel Ability to manage multiple priorities and changing deadlines Ability to work independently and use sound judgment Professional and courteous when communicating with tenants, vendors, and business partners Reliable, punctual, and comfortable working in an in-office environment Ability to handle confidential information with discretion Preferred Experience Real estate or property-management experience Experience supporting commercial or residential properties Experience coordinating vendors, contractors, or maintenance requests Familiarity with leases and property-related documents Experience with invoice processing, bookkeeping, or accounting software Real estate experience is preferred but is not required for a candidate with strong administrative skills and the ability to learn quickly. Work Location This is a full-time, five-day-per-week in-office position located at: 146 West 29th Street, Suite 12W New York, NY 10001 This is not a remote or hybrid position.
