Job Description

Avanti Abstract is a growing, locally based title and settlement company seeking an experienced, dependable, and detail-oriented Title Processor / Closing Coordinator to join our team. This is a hands-on, full-time position for someone who understands the title and real estate closing process and is comfortable managing files from opening through post-closing. The ideal candidate is organized, responsive, professional and able to manage multiple transactions and deadlines while communicating effectively with buyers, sellers, real estate agents, lenders, attorneys, tax collectors and other parties involved in a transaction. This role will also assist with and conduct real estate closings. For the right person, there is an opportunity to expand responsibilities, learn additional aspects of the title business and potentially grow into a licensed Title Agent position. Responsibilities Title Processing & File Management Open new title and settlement files and ensure all required information and documentation is obtained. Manage and maintain files throughout the title and closing process. Order and obtain tax certifications, municipal information, HOA/POA dues and resale information, lien information and other required property documentation. Conduct and/or coordinate title searches and review land records, deeds, tax records and other property information. Review title documentation and identify items requiring additional information, follow-up or resolution. Assist with clearing title requirements and obtaining necessary documentation prior to closing. Prepare, review and process deeds, affidavits, settlement documents and other title and closing-related documents. Track important dates, outstanding items and closing requirements to help ensure files remain on schedule. Communicate with lenders, attorneys, real estate agents, buyers, sellers, tax collectors, municipalities, associations and other parties throughout the transaction. Maintain organized electronic and physical files and ensure documentation is complete and properly retained. Closing & Settlement Support Prepare files for closing and confirm required documentation is complete. Conduct real estate closings as needed in a professional, personable and welcoming manner. Guide buyers and sellers through closing documents and obtain all required signatures, initials and dates. Properly notarize documents as required. Review signed closing packages for accuracy and completeness before returning or submitting documents. Travel to closing locations when necessary. Communicate professionally with all parties before, during and after closing. Represent Avanti Abstract professionally at the closing table and help create a positive experience for clients and real estate professionals. Post-Closing Prepare documents for recording and ensure deeds and other required documents are recorded promptly and accurately. Track recording and address any issues that arise. Prepare and process final title policies. Complete post-closing documentation and file requirements. Scan, organize and archive completed files. Assist with returning lender packages and other post-closing documentation. Follow files through completion rather than considering the transaction finished when the closing ends. What We're Looking For Minimum 2 years of real estate title, settlement, mortgage, closing or closely related experience required. Current Pennsylvania Notary Public commission required. Working knowledge of the real estate transaction and closing process. Title processing experience strongly preferred. Pennsylvania Title Agent License is a plus but not required . Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Ability to manage multiple files, priorities and deadlines simultaneously. Strong written and verbal communication skills. Professional, confident and comfortable working directly with clients. Friendly, personable and service-oriented. Able to work independently while also being part of a collaborative team. Comfortable communicating with lenders, attorneys, real estate professionals, municipalities and clients. Able to maintain professionalism and accuracy in a fast-paced environment. Willing and able to travel locally for closings as needed. Reliable transportation required. High school diploma or equivalent required. Opportunity for Growth We are looking for more than someone to simply complete individual tasks. A candidate who is not currently a licensed Title Agent may have the opportunity to work toward becoming one as the position develops.
