We are looking for an experienced, highly organized Transaction Coordinator to support our Tennessee agents and help strengthen our transaction and compliance processes. Position Summary The Tennessee Licensed Transaction Coordinator will manage residential real estate transactions from contract to close while ensuring deadlines, documentation, communication, and brokerage requirements are handled accurately and efficiently. This role will also help train and support agents in dotloop, transaction file management, document submission, and ALBRICK's internal processes. The ideal candidate is proactive, detail-oriented, responsive, comfortable teaching others, and able to manage multiple transactions in a fast-paced environment. Responsibilities Coordinate residential real estate transactions from contract through closing Create and organize transaction files in dotloop Review files for completeness, accuracy, signatures, dates, and required documentation Monitor contract deadlines, contingencies, inspections, appraisals, financing, and closing requirements Communicate with agents, clients, attorneys, lenders, title companies, inspectors, and other transaction parties Follow up on missing documents, signatures, amendments, and required disclosures Submit files for brokerage review and work with leadership to resolve compliance issues Maintain detailed notes and accurate transaction records Provide agents with regular updates regarding deadlines, missing items, and transaction status Train agents on dotloop, file creation, document submission, and transaction procedures Help new agents understand ALBRICK's transaction and compliance requirements Create training materials, process guides, and resources for agents as needed Assist with improving transaction workflows, checklists, templates, and internal systems Participate in agent training sessions and transaction support office hours Provide additional operational and administrative support as needed Required Qualifications Active Tennessee real estate license Previous real estate transaction coordination, brokerage operations, compliance, or administrative experience Strong understanding of residential real estate contracts and transaction timelines Experience using dotloop or a similar transaction management platform Excellent organization, communication, and time-management skills Strong attention to detail and the ability to identify missing or inconsistent information Ability to manage multiple transactions and deadlines simultaneously Ability to explain systems and processes clearly and patiently Comfortable learning new technology and working across multiple platforms Willingness to obtain real estate licenses in additional states as ALBRICK expands Preferred Qualifications Previous experience supporting multiple real estate agents or teams Experience training agents on transaction management systems and file compliance Familiarity with brokerage compliance procedures Experience creating transaction checklists, templates, or standard operating procedures Existing real estate licenses in additional states What We're Looking For We are looking for someone who takes ownership, communicates consistently, and understands the importance of both accuracy and agent support.
