This position oversees the listing process from initial intake through activation, ongoing management, and closing support. The Listing Manager serves as the primary administrative point of contact for agents, sellers, prospective clients, vendors, marketing personnel, and internal departments. Timely communication, attention to detail, accurate recordkeeping, and an outstanding client experience are essential to this role. Key Responsibilities Listing Intake and Preparation Receive new listing submissions from agents and confirm that all required information and documents have been provided. Create and maintain organized digital and physical files for every listing. Review listing documents for completeness, accuracy, signatures, dates, and required disclosures. Follow up with agents and clients regarding missing or incomplete documents. Enter and update property information in the appropriate MLS and company systems. Verify property details, pricing, descriptions, showing instructions, photos, and required disclosures before activation. Ensure listings are submitted and activated within required timelines. Active Listing Management Monitor all active listings and maintain accurate status records. Process price changes, status changes, extensions, withdrawals, cancellations, and other listing updates. Track important dates, listing expirations, document deadlines, marketing schedules, and compliance requirements. Ensure that MLS information and internal records remain current and accurate. Prepare regular listing status reports for agents, leadership, and the operations team. Proactively follow up on overdue tasks and immediately escalate delays, errors, or compliance concerns. Agent and Client Communication Serve as the primary administrative contact for sellers throughout the listing process. Provide agents and sellers with professional and timely updates. Respond promptly to calls, emails, messages, and office inquiries. Communicate clearly regarding appointments, documents, marketing activities, listing updates, and next steps. Maintain a professional, helpful, and solutions-oriented approach in all interactions. Escalate negotiations, complaints, sensitive concerns, and licensed real estate matters to the appropriate agent, broker, Director of Administration, or Team Leader. Scheduling and Vendor Coordination Schedule and coordinate photography, videography, measurements, staging, inspections, open houses, and other listing-related services. Confirm appointments with sellers, agents, vendors, and internal team members. Travel locally to pick up, deliver, organize, and track property keys, lockboxes, sign riders, and listing materials. Install, remove, and maintain real estate yard signs, sign riders, lockboxes, and related property materials as assigned. Track vendor appointments and follow up to ensure services are completed on time. Notify the appropriate team members immediately of cancellations, scheduling conflicts, or delays. Marketing Coordination Coordinate with the marketing department to ensure every listing receives the appropriate marketing support. Submit accurate property information, photos, descriptions, and supporting materials for marketing. Review listing marketing materials for accuracy before publication. Assist with coordinating open-house promotions, social media content, flyers, signage, and other property marketing. Monitor marketing deadlines and follow up on outstanding deliverables. Closing and File Support Maintain listing records from activation through pending and closing. Confirm that listing files contain all required documents and updates. Coordinate with agents and transaction personnel when a listing goes under contract. Update the MLS and internal systems as the listing progresses. Assist with preparing completed listing files for compliance review and record retention. Maintain confidentiality and protect client, company, and transaction information. Office and Field Support Work between the Odessa office and local property sites during the established schedule. Help maintain an organized, professional, and welcoming office environment. Assist agents and visitors with listing-related questions and office needs. Participate in team meetings, training sessions, and required company activities. Support internal MLS and NAR RPR training sessions when assigned. Assist with monitoring scheduled virtual training sessions when necessary. Provide reasonable administrative and operational support based on the needs of the Listing and Operations departments. Performance Expectations The Listing Manager is expected to: Maintain the agreed Monday-Friday schedule and remain available for both office and field assignments. Complete assignments accurately and within established deadlines. Communicate promptly and professionally with clients, agents, vendors, and team members. Provide proactive follow-up without requiring repeated reminders. Keep leadership informed of listing progress, obstacles, and overdue items. Immediately report errors, delays, complaints, compliance issues, or sensitive concerns. Maintain accurate and organized records. Protect confidential client and company information. Follow all applicable company procedures, contractor guidelines, and data-security standards. Adapt to updated systems, workflows, and department needs. Contribute positively to a collaborative and accountable team environment. Qualifications Previous experience in real estate administration, listing coordination, transaction coordination, office administration, or a related position is preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. High attention to detail and commitment to accuracy. Ability to manage multiple listings, appointments, priorities, and deadlines. Professional customer-service skills and a client-focused attitude. Ability to work independently while collaborating with agents and internal departments. Comfortable learning and using real estate technology and office systems. Ability to handle confidential and sensitive information responsibly. A valid driver's license, reliable transportation, and willingness and ability to travel locally, perform outdoor property tasks, and safely handle and install standard real estate signs, lockboxes, keys, and listing materials. A real estate license is not required at the time of engagement; however, the selected candidate must be willing to begin or continue the licensing process and work toward obtaining a Texas real estate license. Unless the contractor holds the appropriate active real estate license and has been specifically authorized, the Listing Manager may not perform licensed real estate activities, provide pricing or contract advice, negotiate terms, or make representations on behalf of an agent or broker. All negotiations, legal or contract questions, complaints, and sensitive client matters must be directed to the appropriate licensed agent, broker, Director of Administration, or Team Leader/CEO.
