Position Overview As an RMA Coordinator, you will manage customer product returns, warranty claims, loaner equipment, and replacement cases from start to finish. You will communicate with customers, coordinate with internal departments and manufacturing partners, maintain detailed records, and ensure that each open RMA continues moving toward resolution. A key part of this position is research and investigation. You will work across multiple internal systems to determine warranty eligibility, identify whether a sensor is an original purchase, replacement, loaner, or subscription sensor, review customer account information, and determine the appropriate next step for each case. This is not a technical support position, and prior dental or imaging experience is not required. We provide comprehensive on-the-job training. This position is ideal for someone who is highly organized, detail-oriented, comfortable researching information, and able to independently manage a large number of open cases without constant supervision.
Primary Responsibilities:
Manage RMA and warranty cases from initial customer contact through final resolution. Communicate with customers by phone and email regarding return requirements, warranty status, loaners, factory evaluations, and replacement products. Review customer documentation, photos, agreements, and account information to ensure all RMA requirements have been completed. Research information across multiple internal systems to determine warranty eligibility, product history, previous replacements, subscription status, support coverage, and other relevant details. Investigate incomplete or conflicting information and determine the appropriate next steps for each case. Maintain accurate and detailed records of all RMA activity. Track open RMAs and follow up with customers, internal departments, and manufacturing partners as needed. Monitor products that have been sent to manufacturers for evaluation and communicate status updates to customers. Coordinate approved and rejected warranty claims with customers, Sales, Shipping, and other internal teams. Coordinate customer loaner equipment, including processing outgoing loaners and following up to ensure loaners are returned. Work independently to ensure cases do not become delayed or overlooked.
Required Qualifications and Expectations:
Strong organizational skills and the ability to manage multiple open cases and priorities at the same time. Excellent attention to detail and accuracy when reviewing and recording information. Strong research and investigative skills, with the ability to gather information from multiple systems and determine the complete history of a case. Ability to work independently, stay motivated, and manage responsibilities with limited oversight. Excellent written and verbal communication skills. Strong follow-through and willingness to consistently follow up on unresolved items. Good judgment and problem-solving skills when information is incomplete or unclear. Comfortable learning and working within multiple computer systems. Working knowledge of Microsoft Excel and the ability to maintain organized records and tracking information. Ability to communicate professionally with customers, coworkers, manufacturing partners, and other departments.
