Position Overview:

The Reservation Specialist is responsible for managing all aspects of the reservation process, ensuring accurate vehicle bookings, and delivering excellent customer service. This role serves as the main point of contact for customers looking to rent a vehicle and works closely with the fleet/operations team to coordinate availability.

Key Responsibilities:

Respond promptly to reservation inquiries via phone, email, online platforms, and walk-ins. Create, update, and confirm vehicle reservations with accuracy and attention to detail. Verify customer information, rental requirements, payment details, and insurance qualifications. Coordinate rental schedules to ensure proper vehicle availability and minimize scheduling conflicts. Track and update vehicle status (rented, returned, ready, or in maintenance) in the reservation system. Provide friendly, professional customer service and assist with customer concerns or questions. Apply rates, promotions, and special requests accurately within the booking system. Communicate with the fleet/operations team to ensure vehicles are prepared and ready for pickup. Assist with group rentals, corporate accounts, and special booking needs. Maintain organized and accurate reservation records and documentation. Special projects as they come up and they do come up!

Qualifications:

Experience in car rental, hospitality, transportation, or customer service is helpful but not required. Strong communication and customer service skills. Familiarity with reservation or rental management software (e.g., Rent Centric, TSD, HQ Rental Software, etc.) is a plus. Excellent attention to detail and organizational skills. Ability to handle multiple tasks in a fast-paced environment. Professional, friendly, and customer-focused attitude. Problem-solving skills and the ability to adapt to last-minute changes.
