This is a fast-paced operational position responsible for helping manage the daily movement, billing, and administration of our rental fleet. The Rental Operations Coordinator serves as a central point of communication between customers, hauling, service, sales, accounting, and management. This position requires someone who is comfortable managing multiple priorities at the same time, following up persistently, and having professional but sometimes difficult conversations with customers regarding collections, equipment returns, and account status. Key Responsibilities Maintain accurate tracking of rental equipment, including equipment on rent, available, reserved, scheduled for pickup, in transit, returned, or awaiting service Coordinate equipment deliveries and pickups with customers and hauling personnel Maintain communication with drivers and departments regarding equipment movements and scheduling Prepare rental agreements and maintain accurate rental documentation Process rental billing accurately and on time Monitor rental periods and proactively contact customers regarding extensions and returns Perform collection duties on past-due rental accounts Follow up consistently on outstanding balances and communicate account issues to management Create new customer accounts and process credit applications Maintain accurate customer and equipment information Coordinate with service regarding returned equipment, inspections, repairs, and rental readiness Communicate rental availability and equipment status with sales and other departments Answer incoming phone calls and assist customers at the front desk Assist accounting with rental billing, customer accounts, documentation, and reconciliation Maintain an organized rental schedule and help prevent equipment movements, billing, or customer follow-ups from falling through the cracks Who Will Succeed in This Position This position is best suited for someone who: Is exceptionally organized and detail-oriented Can remain composed when several things need attention at once Is comfortable holding customers accountable for payments and equipment returns Communicates clearly and confidently over the phone Is persistent and follows through without needing constant supervision Can coordinate effectively between customers, drivers, technicians, salespeople, and management Understands that accurate equipment tracking and timely billing directly impact the profitability of the rental department Takes ownership when there is a problem and follows it through to resolution Previous experience in equipment rental, dispatching, logistics, accounts receivable, collections, construction equipment, agriculture, automotive dealerships, or similar operations is strongly preferred. Compensation $50,000-$65,000 annually, depending on experience and qualifications.
